QBD → Cloud migration — the export cleanup problem

With the May 2027 end-of-support date for QuickBooks Desktop getting closer, I've been talking to a lot of accounting firms about how they're planning migrations for their client portfolios.

The actual migration tools seem fine — it's the export cleanup that everyone's struggling with. QBD exports come out with account numbers embedded in the account name strings, sub-accounts nested with colons, and debit/credit signs that don't match what Xero or Sage expects. I've heard firms say they spend 15-20 hours per client just cleaning up the export in Excel before they can even attempt an import.

For a firm with 50-100 clients on Desktop, that's potentially thousands of hours of manual work before the deadline.

Has anyone found a decent workflow for this? The free conversion tools seem to have pretty high error rates from what I've heard.

I'm working on a tool to automate the cleanup — handling the embedded account numbers, colon-nested hierarchies, sign convention mismatches, and trial balance validation. It's called LedgerTransit (https://ledgertransit.com) — still in early development, and I'm looking for firms willing to share their pain points to help shape what gets built first.

Curious how others are handling this. Migrating one at a time or in batches? And which destination platform are you finding easiest?

They haven't announced the discontinuation of QB Desktop yet. We're still hoping they'll release QB Desktop 2027 Enterprise sometime after the middle of this year. We'll see.

 

If you need to convert data to Xero or another application, you can purchase a third-party service to do so. I tell my clients not to bother cleaning their data first. They can also choose to start fresh in the new system  and permanently access their historical data in QB Desktop to lower their conversion costs.

Good point on Enterprise — I should have been more specific. I'm mainly thinking about the Pro/Premier/Mac users who are losing support.

Starting fresh is definitely the simpler path. The firms I've been speaking with who need to bring data across are mostly ones with complex chart of accounts structures or audit/reporting requirements that make a clean start impractical. That's the use case I'm focused on.

Appreciate the perspective — helpful to understand how others are advising their clients on this. Out of curiosity, which third-party conversion services are you recommending to clients? Always good to know what's out there

For Pro/Premier/Mac users, I always recommend our clients upgrade to Enterprise. There is a way to keep their subscription licensing costs low. If they decide switching to QB Online or other apps, I would recommend contacting @Fiat Lux - ASIA to purchase their conversion service.
