A/R AGING SUMMARY

Recently my a/r againg summary is including inactive customers.  according to QB help the only way to only have active customers on this list is to hand pick from names under the customize filters.  Is this correct?  I thought there was a customize option to pick active, inactive or all..

Welcome to the Community. Let me share some clarification about the AR report in QuickBooks.

 

When you run the A/R Aging Summary report, it defaults to show all customers including those who are inactive. Currently, the option to choose only active customers is unavailable.

 

For now, you'll need to hand pick each one of the names you want to reflect in the report. In case you need the steps, here's how:

 

  1. Click the Reports tab at the top menu bar.
  2. Hover your cursor to Customers & Receivables.
  3. Select A/R Aging Summary.
  4. Press Customize Report.
  5. Go to the Filters tab.
  6. Click Name under Current Filter Choices.
  7. Select the drop-down arrow under Name.
  8. Choose Multiple Names
  9. Select the customers you want to show.
  10. Hit OK

 

If you need a report of your active and inactive customers, you can go to the Customer Center section. This way, you'll be able to export the list to Excel and view all of them.

 

Please follow these steps:

 

  1. Click the Customers tab at the top menu bar.
  2. Select Customer Center.
  3. Go to the Customers & Jobs tab.
  4. Choose All Customers.
  5. Press the Excel drop-down.
  6. Hit Export Customer List
  7. View the Excel file.

The AR Aging summary only shows customers who have unpaid transactions - which is its purpose.

 

Generally, transactions-based reports in QuickBooks pay no attention to the active/inactive status of list records like names, because if they did report results would be incomplete. Using this case as an example, if inactive customers with open and unpaid transactions were excluded, the open balance total wouldn't agree with your balance sheet.

 

How would excluding customers from the report based on their active/inactive status - instead of whether or not they have unpaid A/R transactions - be helpful?

QuickBooks needs to fix this.  I have a number of inactive customers that are cluttering up my aging report and to have to go and hand-pick just the active accounts doesn't make any logical or accounting sense!!

I have tried to find any kind of work around for this issue - it's both A/R & A/P summary aging reports.  The best solution I have is to export the report to excel and edit from there - it's alot quicker than manually picking which customer or vendor you want from the QB dropdown...FWIW

The reports will only show customers (or vendors for the A/P report) that have “unpaid” transactions. If you see customers that have a 0.00 total balance on the summary report, that means there is unpaid detail behind the 0.00 balance. Double-click on the 0.00 amount to see that detail.

Typically this is a result of payments not being applied to invoices. For A/R, resolve this by editing the payments and applying them to the available invoices until all things are paid, and then the customer should disappear from the summary report.
