How to condense and remove old data

How can I condense a customer file and delete the old data. I am going to create a backup before I attempt anything. The file I am working on is from 2023 to 2007. I need to remove all the data from 2018 to 2007. 

What is the bet way to accomplish this process?

If you encounter any errors during the process, you'll need to purchase a third-party condense service or create a new company file from scratch.

Hello there, Oly26. I can help you condense data in QuickBooks Desktop (QBDT).

 

The Condense Data utility streamlines your company data file and can improve QuickBooks performance if you're experiencing issues. Please take note that we can't reverse when condensing the file.

 

Valid reasons to condense include:

 

  • Large data file
  • Nearing a list limit
  • Upgraded hardware
  • Approval from an accountant and technical support

 

If you wish to continue, follow the steps below:

 

  1. Go to the File menu.
  2. Tap Utilities.
  3. Click Condense Data.
  4. Select the Remove the transactions you select from your company file radio button and click Next.
  5. Choose Transactions outside of a date range radio button and enter the date.

  6. Hit Next.
  7. Continue the prompts on how you wish to condense and remove your data.
  8. Pick Begin Condense.

The condense feature is not available in QB Desktop Canadian version. You can purchase a 3rd party condense service.
