Missing Data

Hi there, my Grandmother uses Quickbooks 10 for managing her business's customer accounts. Somehow today an entire 5 years of data (2014-2019) was completely deleted out of her system and I have not been able to figure out how to retrieve any of it. Every customer added, invoice created, transaction recorded, and even bank information is gone after 2014 entries. It's like the system reverted back to the exact information available in 2014. Please help! I am not a professional QuickBooks user or accounting manager so I have absolutely no idea how to resolve this for her.

I want to make sure you're able to retrieve your Quickbooks data file so you don't throw off your books.

 

Great news! Accessing your QuickBooks Mac File can be done in just a few clicks! Here are some options you can try:

 

Option 1: You can locate your company file by going to Documents and clicking QuickBooks. You can also do a wildcard search by finding the QuickBooks file extension (.QB) on your PC.

 

Option 2: Restore a backup:

  1. Go to QuickBooks, then select Preferences.
  2. Choose Backup.
  3. Locate the back up copy and double click the .dmg file.
  4. Drag the company file (with .qbXXXX extension) to the folder where you want to save the file.
  5. Drag the Attached Documents Library folder (if applicable) to the same folder as the QuickBooks company file.
  6. Click the copy of the company file saved on the desired location or go to File > Open Company.

Missing Data

Make sure the correct company file is open - often when that much data "goes missing" the issue is someone accidentally opened a very old copy of their company file.  In the Mac OS, use Spotlight to search for QuickBooks files.  If this is the Mac version of Quickbooks, you can search for .qb  and find all the files.

 

After that carefully look at each file.  You can select the file in the Finder and choose File->Get Info. Look at the file size. The largest file is likely to be the one with the most data in it. 

 

Within QuickBooks you can see which file is open by choosing Command-1 (Or Help->Get Information).  At the bottom of the window you'll see the file that is open and the path to it in the Finder.

 

Finally, if the biggest file is not the one that is open, try opening the biggest one using File->Open and navigating it to it.

 

The other possible issue is data damage, although that is much more rare. To see if that is the case try File->Utilities->Rebuild.
