Quickbooks Desktop compatibility with office 365

If QB desktop 2019 is compatible with Office 365 (Excel) why can I not export to Excel?  The only option I have is to export to a CSV file.  I have gone through all the trouble shooting topics and have had no luck in getting this to work.

Hello there, @clfp.

Thanks for reaching out to us. I’ve got some steps to try to fix the export to Excel issue in QuickBooks Desktop.

You should be able to export the report since QuickBooks Desktop 2019 is compatible with Office 365. If the only available option is to export to a CSV file, it can be due to the following:
•    Excel is not installed on your computer.
•    It's installed across a network.
•    The local Excel installation is damaged.

If Excel is installed on your computer and isn’t damaged, update QuickBooks to its latest release version and export the report once more. If the same problem occurs, try to repair the software.

Repairing QuickBooks can fix any program-related issues or errors. Before doing so, prepare the QB Desktop installation CD or download the installer from the website if the software is purchased through the phone or online.

Follow the steps below to repair QuickBooks:
1.    Restart the computer.
2.    Back up your QuickBooks company file.
3.    Go to Start and then Control Panel.
4.    Select Programs and Features
5.    In the list of programs, select QuickBooks.
6.    Choose Uninstall/Change, then click Continue and Next.
7.    Click Repair and then Next. Wait for it to complete.
8.    Once done, hit Finish.

Here’s an article for your reference: Fix QuickBooks Desktop (Windows).

If you continue to get the same result after performing these steps, check out this article for other recommended solution: Export option for Excel is grayed out.

That should do it. Please give this a try and let me know how it goes. If you have any questions, leave a reply below. I’ll be here to answer them for you. Thank you for reaching out and take care!

I have done all this with a support person remoted in on my desktop.  Her answer after nothing worked is that it must not be compatible.  Office is installed locally on my computer.  Excel is not damaged, QB is up to date and has been 'repaired' several times for other issues (including this one).  It is frustrating that I am not able to utilize the product to its full capacity.

Thanks for the prompt response, @clfp.

I appreciate you trying out the steps above. I have some additional troubleshooting that could help fix the problem.

This solution is usually provided to users who are having an issue exporting reports to Excel. You need to toggle the User Account Control (UAC) in Windows to resolve this.

Here’s how:

1.    Turn off UAC by selecting the Windows Start button.
2.    Go to User Account Control Settings by typing Change User Account Control Settings, then press Enter or typing Control panel and press Enter. Then, select User Accounts and click Change User Account Control Settings.
3.    Move the slider to Never Notify and click OK.
4.    Restart your computer and open QuickBooks.
5.    Go to Reports and select a report you want to export.
6.    Click the Export button.

Once done, all export options, including Excel, should now be available.

Here’s an article that tackles more about this: Export option for Excel is grayed out.

That should get you pointed in the right direction. Please touch base with me if you need further assistance, I'll be here to help you out.  Thanks for coming to the Community, I'll keep an eye out for your response.

A likely solution seems to be that QuickBooks is a 32bit application, and requires the 32bit version of Office 365 to be compatible. If you have the 64bit version of Office installed, I recommend uninstalling Office 365 and reinstalling it as 32bit.

Yes, this is what did the trick. Would be better if Quickbooks give a clear error message if the wrong version of Excel has been installed.

Why no support for Open Office. Why should your customers purchase something from Microsoft?

Hi there, @Separsell.

Microsoft Office is listed as the software compatible with QuickBooks. You can still use Open Office since it’s one of the supported alternative programs you can use when using the desktop version.

For more information, the 5 Free Alternatives to Microsoft Office article provides a list of software that can work with QuickBooks.

How?  I get an error not finding Office

February 27, 2020

I've just found that Microsoft O365 Pro Plus update version 2002 as per yesterday 2/25/20 blocks Quickbooks desktop from sending emails.  This is true for both QB 2018 + latest 2020.

After the latest update the error message is;

'Outlook cannot log on Verify you are connected to the network and are using the proper server and mailbox name. Then Microsoft Exchange information service in your profile is missing required information. Modify your profile to ensure that you are using the correct Microsoft Exchange information service.'

I've tried a bunch of things, repairs, reinstall of both QB + O365 but error is the same. Who will fix; Intuit or Microsoft?

Let's get your emailing issue sorted out for you, MauiGuru. Rest assured that I'm here to direct you to the right support in resolving this.

Based on the error message, it looks like the Microsoft Exchange information service in your profile is missing some details. With this, I'd suggest contacting the Microsoft Support Team. They can help fix the error that blocks the program from sending your emails. Also, they can assist you with changing your profile to ensure that you're using the accurate Microsoft Exchange information service.

Once resolved, you can now send your sales forms to your customers through the software.

As always, I'd suggest visiting this website: Email Sales Forms. This link provides you steps on how to send forms by batch, edit, and remove an email in QuickBooks.

I'll be right here to help if you need anything else. Have a great day, MauiGuru.

I have contacted MS O365 support who points at you folks needs to fix your program. The Exchange services aren't missing anything. This issue happened on 2/25 when MS updated O365 on desktops causing Outlook to somehow block your access, but MS wants you folks to then keep up as MS will keep moving forward with developments of this sort.

the machines are running Windows 10 Pro v1909. The QuickBooks emailing to Outlook works just find when the desktop O365 is still version 1908 Build 11929.20606 but as soon as we install O365 version 2002 build 12527.20194 the connection between QuickBooks desktop and Outlook is broken; so I wonder what have changed and what could be affecting this? ..   who will work on a fix; Microsoft or Intuit QuickBooks?

Meanwhile I have asked MS O365 support how to uninstall the latest version and go back to the version that still works with QuickBooks.

Your team should test the new Outlook desktop client and let me know what you find - likely that it no longer works with QuickBooks desktop emailing.

I solved the same issue on my Quickbook 2018 with Office 365 home. Strongly recommond the following solution:

Delete completely your current 64 bit Office 365, and reinstall a 32 bit version Office 365.

QuickBooks is a 32bit application, and requires the 32bit version of Office 365 to be compatible. If you have the 64bit version of Office installed, I recommend uninstalling Office 365 and reinstalling it as 32bit.

11/14/2020 - Up until two weeks ago, exporting QB reports to Excel was great. I selected to create a new worksheet and in the next dialogue box I had four options the most common of which was the first one, i.e. Create new worksheet in .xlsx. But now after first selecting "create new worksheet," the following dialogue box grays out the first 3 options (one of which is the one I normally use), and the only option I have is to create a new CSV file. The problem is that in CSV I lose the look of the QB report (formatting), so I get all the numbers but have to spend a couple of hours getting it to look the way it used to when I was able to create a new sheet in .xlsx.

Thanks for joining this conversation, @Finley.

To check if there's any possible data damage causing this odd behavior, let's run the QuickBooks built-in diagnostic and repair tools called rebuild and verify data utilities.

Here's how:

  1. Go to File, then select Utilities and Rebuild Data.
  2. Choose OK. Follow the prompts to save a backup.
  3. Click OK once completed.
  4. Now, go back to File, then Utilities, and select Verify Data this time.

undefined

If QB detected no problem with your data, hit OK and double-check if the date is already correct. However, if it finds an issue, you will be prompted to Rebuild Now or View Errors. Choose Close, then perform the steps below. Here's how:

  1. Locate and check the QBWin.log or QuickBooks.log files.
  2. Scroll to the bottom for the most recent Verify information.
  3. Find the line that contains the LVL_ERROR, then check Top data damage errors in QuickBooks Desktop.

For additional information about fix data damages, consider checking out this article: Resolve data damage on your company file.

To learn more about exporting reports to Excel, please refer to this article: Import or export MS Excel files.

Thank you so much for your attention to my need. I am very appreciative.

I ran the Rebuild and Verify Data with no problems found.

In QBWin.log I found the last instance of "Verify Information," and there was no LVL_ERROR found.

I read through the suggested reading but didn't find anything that fixed the error.

Just to be sure I opened a report at this stage and went through the sequence to export to a new worksheet in Excel. So you can see what I'm seeing, I attached a jpg of the unusual dialogue box I see with the first three options grayed out.

I am indebted for your help. Thank you.

Here is a step I found to work on machines that have issue with export to excel.

download the office uninstall support tool. Run it and reboot then reinstall office.
