Record a deposit for duplicate payment in Desktop

My customer paid the same invoice twice and I accidentally deposited the second check resulting in duplicate payment.

1. How do I record the deposit for the second check/duplicate payment in QB since there are no invoices to attach it to?

****** The check is one of several in a single deposit to the bank. I need to be able to reconcile this deposit.

 

2. How do I then issue a refund check to the customer for the amount of the invoice that was already paid?

 

***** I have QB Desktop. I have seen several posts on how to handle this with the online version but I have Quickbooks Desktop.

I would not suggest @LeizylM 's advice because you don't want to create a credit memo since you did not create a duplicate invoice or sales receipt, you just made an accidental deposit.  The easiest way to do this is to create an other current liability account called 'Due to Customer'.  Then, create a bank deposit and assign the newly-created 'Due to Customer' account under 'From Account'.  Then, write a check to the customer and assign the same 'Due to Customer' liability account as the expense account.  The only thing that is a bit messy about that is that you cannot combine it with other checks into a single deposit.  However, if you record them both on the same day, reconciliation is easy enough.  Undeposited funds (where you combine multiple payments into one deposit) can only be used on invoices and sales receipts and you have neither in this case.

I'll help you record the duplicate payment and issue a refund check to your customer in QuickBooks Desktop (QBDT).

 

When a customer overpays more than what was owed, you can enter a credit memo and write a refund to your customer in QuickBooks Desktop. 

 

Here's how to create a credit memo:

 

  1. Go to Customers, then select Create Credit Memos/Refunds.
  2. Enter the items you're giving credit for, then select Save.

 

Here's how to write a refund check:

 

  1. Go to Customers, then select Create Credit Memos/Refunds.
  2. Select the credit memo you'd like to create a refund for.
  3. Select Refund. This opens the Write Checks window.
  4. This creates your check and auto-populates the details. Review and select Save.

I have a similar situation but with QuickBooks online.

Customer pays my through direct bank transfer. He paid me for 2 invoices twice and requested a refund check. He does not want a credit to apply to future invoices. How do i record the secod (over) Payment. To make it complicated it was deposited with other invoice payments.

We can share some information and steps on how we can record the customer overpayment that has deposited with another invoice. Let's create a check or an expense to record the refund for your customer.

 

Here's how:

 

  1. Click the +New, then select ExpenseAdd Expense, or Check.
  2. Fill out the needed details.
  3. Select the bank account to which you deposited the overpayment from the Payment Account dropdown.
  4. In the first line of the Category column, select Accounts Receivable.
  5. Enter how much you want to refund in the Amount field.
  6. Once done, click Save and close.
