Item receipt report

When you are on the Item Receipt screen, you can click on the reports tab for that window and get to a Transaction Journal which can show more information like the cost of each item received as well as the quantity and other data.  However, users have to modify the format of that Transaction Journal report each time they enter a new receipt and go to print the Transaction Journal.  Is there a way to save that report format/modify so it is easy for our users to print that report for each separate item receipt set (so they don't have to customize the report each time)?

 

What we are looking for is a quick report that shows the Items received, the quantities received and the dollar value of each item received.

I can help you with that, BernieJ.

 

You can click the Memorize button of the Transaction Journal to save its current customization settings. Before diving in, please make sure to include the appropriate columns so you'll get a clearer picture of the items received. Here's how:

 

  1. Open the item receipt.
  2. Go to the Reports tab, then select Transaction Journal.
  3. Click the Customize button.
  4. Set the appropriate reporting date.
  5. In the Columns menu, select the Item, Item Description, Qty, and Amount column.
  6. Hit OK, then click the Memorize button.
  7. Save the report.

Item receipt report

Hi Klent,

I tried that but when I open the report from the memorized reports and try to run it for yesterday, the report is blank.  If I drill into the filters for the memorized report, the only filters set are:

 

Date: Custom

Posting Status: Either

Transaction Type: Item Receipt

 

Is there some other filter we need to select so we can see the transaction journal for the prior day's Item Receipts?

I'm here to help ensure you're able to see the data on the memorize transaction journal report, lBernieJ.

 

I've replicated these steps and was able to pull up the data. See the attached screenshots below for your visual guide.

Since the report is blank on your end, the data could be damaged. You need to run the verify and rebuild data to fix the damage on your company file. Let me show you how:

 

  1. Go to the File menu.
  2. Hover over Utilities, select Rebuild Data.
  3. On the QuickBooks Information window, click OK.
  4. Follow the onscreen steps to save a backup.
  5. Let the tool repair your file. It may take some time. 
  6. When the tool finishes, select OK.
  7. Go to the File menu.
  8. Hover over Utilities and select Verify Data.
  9. Let the tool check your file for data issues.

If QuickBooks doesn't find any issues, click OK. Then, delete and re-create the item receipt. Once done, you can memorize again the transaction journal report.

 

If QuickBooks finds an issue with your company file, select Rebuild Now.

 

If you’re still having data issues after rebuilding your company file, use the QuickBooks File Doctor to fix your company file.

Item receipt report

Will your Sample 2 report find item receipts from different vendors if the date range is changed once opening the memorized report.  I think I could find the original receipt when I tried the memorization function, but when I changed the date range, I could not see other item receipt transactions that had been entered on other vendors.

Hello, BernieJ.

 

The Transaction Journal report will only show the accounting details of a single transaction. Looking at the screenshot, the Sample 2 report won't show any other item receipt other than the selected one. This works if you only need to see (and print) the detail of a single item receipt.

 

Since you also want to see other receipts, then you'll want to use another report instead. I do have one in mind to help you see other receipts and show the data you need. Happy to give you the steps below. 

 

You'll want to use the Purchases by Vendor Detail report, then customize it to add the columns and filter the transaction type. Here's how: 

 

  1. Click the Reports menu, then hover on Purchases.
  2. Choose Purchases by Vendor Detail.
  3. Click the Customize Report button.
  4. Under COLUMNS, check the data you need such as split, account, etc.
  5. Head to the Filters tab.
  6. Search for Transaction Type, then set the filter option to Item Receipts.
  7. Once done, click OK.

This is perfect if you need to see the accounts involved, the price per item and the total cost on the item receipts. This is what it looks like:

You can click the Memorize button above the report header and share it with your team for easier access. 

 

A quick note: Opening each item receipt then looking at their individual Transaction Journal can work. Though, it might become too time consuming if you need a lot.

Item receipt report

I think the "Purchases by Vendor Detail" is the report to use.  However, when I ran the report for one where we had a number of item receipts, the Cost Price, Amount and Balance columns are all zero or blank.  That is weird because the inventory items received all have costs on the items and posted to inventory with a cost.  Any ideas why the report would not show the dollar values?

That's really strange. Normally, this report will show a detailed breakdown of your purchases within the selected date range.

 

It could be that your company file has a data integrity issue that's why the report didn't populate the correct information. To fix this, you'll want to use the Verify and Rebuild features. These tools will scan your company file for fatal errors and discrepancies on reports, then fix them right away. You may follow the steps provided by my peer, MaryLandT to be guided in doing it.

 

In addition, I've attached an article that you can read to help personalize the expense and accounts payable-related reports: Customize vendor reports. This way, it will be easier for you to find the information that you need.

Item receipt report

I think it could be that we are using the Advanced Inventory Reporting.  That report will show cost information once bills are entered, but it does not show the cost information on the item receipts.   One of our staff is receiving inventory and doing item receipts and a different staff entering bills and picking the proper item receipts.  We are trying to find a report we can run at the end of the day so the staff who has entered item receipts can let the payable person know what to look for.

I did do a verify and rebuild function on our company file last night.  We plan to do that rebuild function weekly since that seems to be a common suggested fix for random issues.  Thanks
