We are wanting to make a purchase order that will populate all parts that are below reorder point for a specific vendor.  Please advise on how to proceed.

reordering based on vendor reorder points

Hi, @Brita2.

When creating a purchase order, it doesn't automatically populate items that are below the reorder point for a specific vendor. It lets you track the items you order and receive to know what expenses are coming up. To achieve your goal, we can run the Inventory Stock Status by Vendor report to view which items are below the reorder point for a specific vendor. I can guide you through the process.

Here's how:

  1. Open your QuickBooks Desktop (QBDT) company.
  2. Go to the Reports menu and select Inventory.
  3. Choose the  Inventory Stock Status by Vendor.

  4. You can customize your report to focus on the details you need.

Moreover, QuickBooks Desktop uses reorder points to monitor inventory levels and identify items below the reorder point. You just need to turn on the inventory tracking feature to do this. I'll guide you through the process:

  1. Go to the Edit menu, then select Preferences.
  2. Choose Items & Inventory, and then select the Company Preferences tab.
  3. Tick Inventory and purchase orders are active.
  4. Select “Warn if not enough inventory to sell,” then you can choose “When the quantity I want to sell exceeds Quantity available.”

  5. You can also select “Don’t allow negative inventory quantities” to keep your books accurate.
  6. If you use a unit of measure to track products, select Enable in the UNIT OF MEASURE section.
  7. Hit OK once done.

You can also use a reminder to receive a notification that your items are low. Here's how:

  1. Go back to the Edit menu, then Preferences.
  2. Select Reminders.
  3. Choose Company Preferences.
  4. On the Inventory to Reorder option, select the Show List button.

  5. Hit OK once done.

I also encourage reading this article to help you track inventory stored at different sites or locations: Set up Advanced Inventory.

I'm ready to back you up if you have more questions about creating a purchase order or managing your inventory in QuickBooks. Simply leave your reply below and I'll make sure to answer them for you.

Thank you for the quick response.  however, i am unable to filter this report by vendor.  Can you advise if there is a way to filter by vendor using this report?

It's nice to have you with us in the community today, @Brita2. Let me share insights in your concern about our Inventory Reports.

I understand you're trying to filter the report by vendor. The only method to display a specific vendor is by selecting your preferred vendor in your inventory items. Unfortunately, there aren't any other options to filter the report specifically by vendor. Given that showing all parts below the re-order point for a specific vendor is not possible and is your main concern, I recommend providing feedback.

Your feedback is invaluable to our Product Development team, aiding in enhancing your experience with QuickBooks Online. You can monitor feature requests via the QuickBooks Online Feature Requests website.

To provide feedback for QuickBooks Desktop:

  1. Click on the Help menu.
  2. Select Send Feedback Online.
  3. Choose Product Suggestion, which opens a pop-up window.
  4. Type in your feedback suggestion.
  5. Click Send Feedback to submit your input.

We're dedicated to making sure you can carry on with your work seamlessly in recording your sales transactions in QBO. Let’s get this sorted so you can get back to business. Leave a comment below.
