Report to Exclude a Class

I want to create a P/L report that excludes certain classes and can't figure a way to do it.  Most of my transactions have no class associated with them and other transactions have a class.  I can't find a way to directly exclude some classes in a report.  If I fl

Thank you for reaching out to the QuickBooks Community, Gator88. Yes, there is a way to exclude certain classes when running your Profit and Loss report in QuickBooks Desktop. I will be delighted to show you how to do so.

 

  1.  Go to the Report tab, then Company & Financial and select Profit and Loss Details or Standard.
  2. Make the necessary adjustments, such as setting the date ranges and Report Basis.
  3. Select the Customize Report option.
  4. In the Modify Report screen, under Filter, use the search bar and type class.
  5. In the drop-down bar, instead of all classes, choose multiple classes.
  6. Pick all that applies and click OK when finished.
  7. Select OK again to save the changes.

You should have your customized report now showing the specific classes you wanted. For more information on how to make adjustments to reports, I recommended this article that is filled with ways to achieve this.

Hi SashaMC - thanks for the reply.  Unfortunately, this does not work because there is no "no class" option in the multiple classes drop down menu.  When I do this, any transaction that does not have a class assigned does not show up in the report. I want everything to show up except a particular class, including transactions with no class assignment.

Thanks for reaching back out to the Community. I can see how beneficial this report would be for your unique business. At this time, a Profit and Loss report isn't this specific in QuickBooks Desktop. However, I'll send feedback to our Product Developers so they can consider this option/feature in one of the upcoming releases.

Yep, I have the exact same issue. This seems like a pretty basic ability. Without it, I have to figure out a way to label an entire year's worth of transactions with a class. Please allow to EXCLUDE an attribute in filters!

I understand that you need a Profit and Loss report but exclude those transactions associated with a class.

 

What I can suggest is to pull up the Profit and Loss by Class. All those transactions that have no class will be filtered automatically as Unclassified.

 

Simply go to the Reports tab, hover over Company & Financial, then select Profit and Loss by Class. Make sure to filter other info correctly, like the date and accounting method, to get the right data

Agree that an option for exclusion would be very beneficial - I am looking to do the same thing on an AR aging report.  Any suggestions?

I have an idea to make sure you'll be able to filter your A/R Aging report, @Lisa galvin.

 

You can run either the A/R Aging Detail or Summary report and then customize it to exclude the classes you want. Let me guide you how:

 

  1. Go to the Reports menu at the top, and then choose either of the said reports from the Customers & Receivables section.
  2. Click the Customize Report button, and then go to the Filters tab.
  3. Enter "class" from the search bar.
  4. Choose Multiple classes, and uncheck the class or classes you wish to exclude.
  5. Click OK, and then select OK again when you're ready.
  6. You can also select the date you want from the Dates drop-down, and then click Refresh to apply the changes.

To save the customization you've made for the said reports, you can click the Memorize button at the top. Then, create a unique name, and select OK. Doing so lets you access them quickly on the Memorized reports menu for future use. Are you referring to the report mentioned by my colleague ReyJohn_D? If yes, the A/R Aging Detail or Summary report is available in QuickBooks Desktop.
 

Also, I'd like to know the challenges you encountered when trying to find the report. Were you able to follow the steps provided above? If not, you can provide a screenshot. This way, we can easily determine what's causing this issue. This would also help me to share a concrete solution to your concern.
 

To access QuickBooks Desktop, you should sign as the QuickBooks Admin or make sure you have an appropriate role to access the reports within the company file. For more details about users and their permissions, you can check this article: QuickBooks Desktop Users and Restrictions

Is there a way to Mass-change transactions?
Like, I want to label all of my 'unclassified' transactions with a general class, so I can run reports accordingly.

The option to mass-change transactions is unavailable in QuickBooks Desktop. We'll need to assign per class the unclassified amount. If you're running Balance Sheet by Class report, just follow the steps below: 

  1. On the report, double-click the amount in the Unclassified column.
  2. On the Transactions by Account report, double-click the transactions that make up the unclassified amount.
  3. Look for a "Class" field or column on the transaction.
  4. Assign a class, then press Save & Close.

 

If there's no field to add a class, it means QuickBooks doesn't support classifying the transaction. This means QuickBooks uses the first transaction in a workflow to classify amounts of subsequent transactions. This is also why you can't add a class to some transactions such as customer payments and bill payments.

 

QuickBooks uses the class you add on an invoice to classify the customer payment and the deposit. When entering a payment without an invoice (or a prepayment), it can’t classify the payment and deposit amounts. It shows as unclassified on the Balance Sheet by Class report. However, once you apply the pre-payment to an invoice, it will classify the payment amount correctly. Most transaction workflows work this way in QuickBooks.

 

If you're running a Profit and Loss report that shows a lot of amounts under the Unclassified column and you want to assign the correct class to these unclassified transactions, follow the steps in this article: Filter, sort, or total reports by Class

To all of you in this thread:
I did manage to mass change my transactions that were missing a class - 
         1) Accountant on the top bar 
         2) Client Data Review
         3) Reclassify Transactions
I reclassified all non-classified transactions to a 'General Class', this way I can run 'Exclude Reports' and include the General Class.

It absolutely blows my mind that I can run a P&L by class and see "unclassified" but I CAN NOT run a P&L by month for only unclassified!!! How would you recommend getting to this information by month?? I need four years, by account, by class.... seems like a pretty easy ask yet I can't get to it! Even a transaction detail report comes out in a format that is useless for anything but reading it, no way to put it in a simple pivot table to get account level totals.

Let's run the Profit and Loss Unclassified report, FinancePro.

 

This report helps you view the unclassified transactions. We'll have to customize it to filter the needed data. Here's how:

 

  1. Go to the Reports menu.
  2. On the Company & Financial section, select Profit and Loss Unclassified.
  3. Click Customize report.
  4. Enter the dates.
  5. Select the correct filters.
  6. Once done, click on OK.

 

You may also want to export the report to Excel. There, you can further personalize the data.
