Deposits not recording in bank register

I’m trying to reconcile bank statements in Quickbooks Desktop 2017. Some deposits on the bank statements weren’t showing in the bank register, so I used Make Deposit to add them in order to reconcile.(Payments were received as Undeposited Funds and then deposited, but I used Accounts Receivable as the account for the deposits I entered using Make Deposit).

However, this caused duplicate payments to be applied, resulting in credits to customer accounts. Deleting the deposit made using Make Deposit removes the credit, but then there’s no record of the deposit in the bank register, taking me back to square one.

How do I correct this so the deposit appears in the bank register, without duplicating the payment on the customer account?

You need to delete the incorrect deposit (the one using AR as the account), then recreate it correctly by pulling the existing payment out of Undeposited Funds.

 

What happened is that the payments were deposited incorrectly because a deposit was created using Accounts Receivable. This generated a new A/R credit instead of clearing the payment out of Undeposited Funds.

 

Here’s how to delete the incorrect bank deposit:

 

  1. Go to Banking menu, select Make Deposits.
  2. Click Cancel if the "Payments to Deposit" window pops up.
  3. Choose Previous to find the deposit.
  4. Go to Edit menu, select Delete Deposit, then hit OK.

 

With this, the original payment should be back in Undeposited Funds. You can now record and make bank deposits correctly.

Yes, doing that does return the deposits to Undeposited Funds, but there is already a payment recorded for the invoice. But the original payment doesn’t show in the bank register, which is why I added it using Make Deposit.

After deleting the manual deposits you created, deposit the invoice payments currently sitting in your Undeposited Funds account.

 

Undeposited Funds holds customer payments until you deposit them at your actual bank. Use your bank deposit slip as a reference to ensure the account and selected payments match. Here's how to move them into your bank account:

 

  1. Go to the Banking menu and select Make Deposits.
  2. From the Payments to Deposit window, select the payments you want to combine, then select OK.
  3. In the Make Deposits window, choose the account you want the deposit to go into from the Deposit to dropdown.
  4. Check the deposit total against your bank's deposit slip.
  5. Enter the date you deposited at your bank, and add a memo if you'd like.
  6. Select Save & Close.

 

This process records the deposit directly in your bank register and clears the payments from Undeposited Funds. It also keeps your accounts clean without generating duplicate credits.
