Is it safe to delete older years of quick books desktop?

QB Desktop Canadian version doesn't provide the Condense Data feature like US version. You can purchase a 3rd party service to do so. Contact @Fiat Lux - ASIA directly via email for asssistance.

Hello there, Mary53. Deleting older data isn't considered safe because every past transaction is associated with your current account balances, which can cause reconciliation issues.

 

To preserve the integrity of your records, we can utilize the condensed data utility to summarize old transactions into journal entries rather than removing them entirely. Note: The article is for the US region; however, the steps remain applicable to the Canadian QuickBooks Desktop (QBDT) version.

 

Here's how:

 

  1. Go to the File menu, click Utilities.
  2. Select the Condense Data, then choose the Remove the transactions you select from your company file radio button and click Next.
  3. Choose the Transactions outside of a date range radio button and enter the date. Hit Next.
  4. Continue the prompts on how you wish to condense and remove your data.
  5. Pick Begin Condense.
