How to Specify the Recurring Journal Entry Number Rather than Using Number Sequencing

We make several Journal Entries each month. We have them all saved as recurring transactions. But we have very specific numbering/naming conventions we would like to use for each. Is there a way to add the desired JE number to the recurring transaction instead of QB assigning the recurring JEs a number in sequence from the last created JE?

Example: we want to the JE numbers to be

ME01 COGS PR MM-YY

ME02 CAPEX MM-YY

ME15 PRPD T&T MM-YY

This month when the recurring JEs were generated, the last JE that was made in QB was numbered "REV16 PREP COMM 40", so the recurring JEs were created with the following names, which are not at all what they  should be.

REV16 PREP COMM 41

REV16 PREP COMM 42

REV16 PREP COMM 43

Thanks!

How to Specify the Recurring Journal Entry Number Rather than Using Number Sequencing

Hey, @JustineEFI

Thanks for starting a discussion within the Community about recurring Journal Entries and their numbers.

I can see how beneficial this could be for your business. At this time, you'll need to submit feedback to our Product Developers so they can consider this in the near future.

However, you can manually change the number through the Journal Entry as a work around.

Review our Blog site to keep up with what's new in the system.

I hope this helps answer your question. Reach back out if you need any more assistance. Happy Wednesday!

How to Specify the Recurring Journal Entry Number Rather than Using Number Sequencing

@Candice C Thank you for the quick reply. I was afraid this was the answer and that it wasn't just something I missed turning on/off... We do change the names each month, but it would be nice if we didn't have to. I will definitely suggest this option to your developers.

Have a beautiful day!

I have the same issue.  Once the recurring journal entry template is created with the correct journal entry number we should not have to change the JE number manually each month thereafter.  With so many journal entry numbers this is very time consuming.  Is there not a fix for this?  Can a case be created so that this could be fixed immediately?

I have the same issue. What's the point in a recurring journal entry template if you cannot make the name be what you want it to be? I have to go in and change every single entry or else they are named completely wrong.

Quickbooks - Please fix this!

The automatic sequential numbering is definitely a problem. I have 4 different recurring journal entries each month and several others that are not recurring. The recurring transactions automatically use a sequential number from whatever the last entry was. Then I have to go back in and find the recurring one amongst the others to then edit the number of the recurring ones. What a waste of time!

I appreciate you for joining in on this conversation, @jmcintosh. We've heard your concerns, and please know that I'm here to help.

I understand how challenging it is to manually edit the number sequencing of recurring Journal Entries one at a time in QuickBooks Online (QBO). However, the option to automatically specify the sequential numbering is currently unavailable in QBO.

I can see how this will benefit other business owners, as well. Don't worry. I'll help you relay this valuable insight to our software developers. This way, they can review all your feedback and will consider incorporating it in our future product updates.

To do that:

  1. Go to the Gear icon.
  2. Select Feedback under Profile.
  3. Enter a description of your feature request, and select Next.

Your suggestions mean a lot to us to help improve your QBO experience. We can track your requests by visiting the QuickBooks Online Feature Requests website.

Moreover, we can schedule recurring transactions created with a template using QBO Essentials and Plus. It gives you visibility into future cash flow, as well as the ability to send reminders to clients before the transaction date.

Feel free to get back to us if you have clarifications about recurring transactions. We're always here to help. Keep safe.

Same here. Every month after the recurring journal entries run, I have to go back and change the name of them. Wish QBO would get this fixed already!
