Multiple bills upload and AP workflow QBO Advanced

Hello,  we are using QBO Advanced and a third party app Transaction Pro for uploading multiple bills in the system. Now we turned on the AP approval workflow but it only works with the manual invoices and not with the upload. Transaction pro tells me AP workflow is not supported for their uploads, which pretty much makes it useless since most invoices make it into the system through uploads.

Multiple bills upload and AP workflow QBO Advanced

It's essential to have a seamless workflow when dealing with bulk transactions, Oxana. Since Transaction Pro doesn't support A/P workflow, let's explore alternative solutions that integrate more seamlessly with your current setup.

QuickBooks Online (QBO) Advanced offers powerful capabilities for managing your financial data, including the ability to batch-import transactions like bills. I'll show you how to do this.

First, prepare your data in a CSV file that includes columns matching the fields in QBO, such as Vendor Name, Date, Bill Number, Amount, and other relevant details. Then, follow these steps:

  1. Go to the gear icon in the upper right corner and select Import data under Tools.image (1).png
  2. From the list of data types, select Bills. Then, hit Import. image (2).png
  3. Choose Use QuickBooks Batch transactions. Then, press Next.image (3).png
  4. Click Import CSV. image (4).png
  5. Upload your file and click Next.image (5).png
  6. Map the fields from your file to the corresponding fields in QBO. Then, click Next.
  7. Review the data. Once verified, press Save.

Alternatively, you can explore third-party integration tools available through the QuickBooks App Store to streamline this process. Here's how to check out the available apps in QBO:

  1. On the left navigation panel, go to Apps.
  2. Navigate to the Find apps tab.
  3. Search for an app and add it to QuickBooks.image.png

You can use a third-party billing management app with an approval feature to sync with QBO as a workaround and also replace TP to import bills.
