Item "not on item list" even though it is

I have an item called "tooling" on my item list.

 

When I try to use it I get the message "Tooling not on item list"  etc.

 

This also comes up when I try to edit a transaction involving tooling.

 

How do I fix this without messing up all my transactions that use this item?

Let me help you perform some troubleshooting steps and get the Tooling item to appear on the list, byomtov.

 

There are times when your company file is damaged, which leads to being unable to perform some tasks. To fix this, you can run the Verify and Rebuild Data utilities.

 

Before you get started, make sure to backup your company file. Then, follow these steps to scan your company file for errors or data damage.

 

To Verify Data:

 

  1. Go to File, then select Utilities.
  2. Select Verify Data, then select OK to close all windows.
  3. If you see “Your data has failed the integrity check” you need to rebuild your file. If there are no problems with your data, you’re done.

 

To Rebuild Data:

 

  1. Go to File, then select Utilities.
  2. Select Rebuild Data, then select OK to close all windows.
  3. QuickBooks will ask to make a backup before rebuilding your company file, select OK. If you don’t want to do a backup, select Cancel to continue rebuilding your company file.
  4. If you haven’t set up any backup preferences, QuickBooks will ask you to update them. 
  5. Select Backup Preferences and edit as needed, then select OK.
  6. When the backup's finished, select Show in Finder to locate the backup or click OK if you’re done.
  7. Once the rebuilds are finished, click OK.

 

After running those utility tools, re-sorting the item list can also fix data damage on your company file. Please keep in mind that you'll need to close and re-open your company file after re-sorting a specific list.
