Our customer statements include a message printed on the statement. How do I edit this message?

Before we go into detail, I'm going to need some additional information.

  • Are you meaning your company information including (address, email, etc.?)

If not, could you maybe provide a screenshot of the statement message?

I too would like to edit statements.  The default message in the body is so poorly written.  I would just like to eliminate it  but I do not want to do so in every single message every time.

I'll help you modify the statement message when sending it out to your customers, @joefong12389.

 

Let me show you how by following these steps:

 

  1. Click the Gear icon and select Account and settings.
  2. Go to Sales, then click Messages.
  3. Under the Sales form drop-down, click Statement.
  4. In the Email message, edit the messages.
  5. Click Save.

 

Once done, you can now create a statement to show the summary of your customer's invoices, payments, credits, and balances.

 

In addition, you can run the Statement List report to view the lists of all statements you sent to your customers during a selected time period.  Just go to Reports and search for Statement List.

You are stating to go to the 'gear' I have Quickbooks Pro 2020 and there is not a 'gear' to click on.  For some reason when I print a statement, there is a message in the body part of the statement that needs to be changed because it shows a telephone number that does not belong to us. 

 

How do I get to this change if I do not have a 'gear' in the upper right corner?

I'm here to ensure you're able to change the message in the body part of the statement in QuickBooks Desktop (QBDT) Pro 2020, @rdwelding

 

The Gear icon provided by my peer above applies to the QuickBooks Online (QBO) interface. That's why you're unable to see this option in the desktop version. 

 

Let's go to the Footer tab in the Additional Customization window of your statement template. This way, you'll be able to change the telephone number in the message field. I'll guide you how. 

  1. Go to Lists from the top menu.
  2. Select Templates.
  3. Double-click the statement template you’d like to edit. 
  4. Choose Additional Customization
  5. Go to the Footer tab
  6. Manually change the contact info in the Long text section. 
  7. Click OK.

 

The screenshot below shows you the last three steps. 

 

I've attached a sample screenshot of how it looks like after performing the steps above.

 

Aside from the message field, you can also place your contact info under the company address. With this, I'd suggest going to the Basic Customization window. Then, check the Phone Number box under Company & Transaction Information. Click the Layout Designer button. From there, you can move the phone number field and resize its font under your business location. The screenshot below serves as your visual guide, as well as the result when printing the statement. 

 

You can always go back to the Templates menu to customize your other forms, such as invoices. It helps you control how they look and what details to include to enhance your brand. Ok, thank you for your input.  I guess I asked the wrong question.  Please see below in red is what I need to change.

 

We recently updated our Quickbooks program to 2020.   For some reason when I go to email a statement they get a letter and in that Body of the letter it says: 

 

Dear Customer:

Your statement is attached.  Please remit payment at your earliest convenience.

Thank you for your business - we appreciate it very much.

 

Sincerely,

R&D Welding

Phone number:  xxx-xxx-xxxx

our telephone number shows our old telephone number from years ago.  How do I change that? I am not sure where I go?  It must be in the default somewhere but unsure where? Otherwise I have to change it everytime I email a statement to someone.
