As an alternative, you’ll want to manually provide them their W-2 forms. Let me show you how in your QuickBooks Online (QBO) account.

1. Go to the Taxes menu.
2. Select Payroll Tax.
3. In the Forms section, select the Annual Forms link.
4. Select the Employer Copies: Form W-2 (W-2, Copies A & D), Transmittal of Wage and Tax Statements (W-3), Employee Copies: Form W-2 (W-2, Copies B, C & 2).
5. Choose the appropriate filing period from the dropdown.
6. Click View to open Adobe Reader in a new window.
7. Select the print icon on the Reader toolbar. 
8. Then click Print again.
