Share files with accountant

I want to ensure your client can see the file you shared to them, @MelissaLCC

To start, let your client perform some troubleshooting steps to fix this. There are times that the browser is full of frequently accessed page resources, which causes some errors or unusual responses. Let your client access their account using a different or a private browser. They can use either of these shortcut keys:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Shift + N

Once they successfully see the file, let them go back to their regular browser and clear its cache. This is done to speed up the process next time they do a transaction in QuickBooks Online. Also, an alternative way is to use other compatible browsers.

I've also attached an article to help manage an accountant user in QuickBooks Online: Invite an accountant to review your books.

Keep me posted if you have other concerns with your accountant's copy. I'm always here to help. Wishing you and your business continued success.

Thanks for joining this thread, @houscifair. Let me clarify things for you.

As mentioned above, you'll need to invite your to your QBO account so they'll have an access and do the necessary tasks.

If you invite your accountant and don't have a QBOA subscription, signing up is free and allows them access to your QBO company at no cost to you.

Feel at ease to comment down below if you have other concerns about sharing files with your accountant. I'll be happy to help you.

In order to get that "Upload" button to appear on your end, your accountant that you already invited to be an accountant on your QuickBooks needs to upload a document first to share with you in order to get that upload button to appear.  As an accountant, I used to be able to just click in the documents area and my clients would see the upload button, but now the only way I can get my clients to see that button is to share a document with them first and then it appears on their end.

Hi Rubielyn, it's a bit more than that.  Heather V was able to assist me.  My accountant already has access to view my books but in order for me to use the document upload feature, my accountant must initiate a request first.  I can't do it from my end.  This is should be clearly stated on the document upload page and frankly is a hassle.  Please share with the development team.  Thanks for replying.

I agree. Years ago the client could initiate the sharing. Now the accountant bills time for setting this up by uploading a blank document. My cpa never shares docs, i just upload them as the client.

The answer I was looking for...and pieced and parted the feed together to come up with this!

It took me a while, but I did eventually find the "Upload" button using my accountant user access.  From QBOnline Accountant, select Clients.  All clients that have added you as an accountant should be displayed.  Search for your client that you want to share a document with.  Do NOT select them from the drop down menu and do not click on the QB icon as it by-passes the screen you need.

Click the actual name of the client in your list, in the example "Client Company Na.." is what you need to click on.Sharing client accountant docs 1.png

That will take you to the client information screen.

From there, click on the Shared Documents tab and the Upload button will be available.  It is not available IF you are in the clients books.  Once you have shared something, then yes, you can see it from the clients books and it mirrors this screen now.  As an accountant though, you have to upload something first for it to be available.
