Thank you for dropping by in the QuickBooks Community, jamikadixon-yaho. I’ve got the steps to ensure you're able to inactivate an employee in QuickBooks.
I suggest changing the employee's status to Not On Payroll, or Terminated. Once done, their name will be marked with an asterisk to indicate they're no longer active in your payroll list. Please note that they'll still appear on your reports.
Here's how:
Go to the Workers or Payroll menu.
Select the Employees tab.
Click the employee's name.
Click the Edit (pencil) icon beside the Employment section. If you don't see the Employment tab, check if you have paychecks created in your payroll account. You must have at least 1 paycheck created for you to change the employment info.
From the Status drop-down, select the appropriate status.
