When connecting multiple systems, QuickBooks Connector (OneSaas) can match pre-existing data without creating duplicates. Contacts QuickBooks Connector uses a complex algorithm to match contacts across different systems. We use the following criteria: Company name First name Last name Email Phone number As a first step, we will pull contacts data from the connected systems into QuickBooks Connector, and check if any contact names match up. Then, we look at these contacts' emails to confirm they're a match. If the emails don't match, we won't match them. If one or more of the contacts don't have an email, we'll try to match using the phone numbers. If the phone numbers don't match, we won't match them. Note that we can't handle existing duplicates. For example, if you have a repeat customer who creates a new login account for every purchase, we will treat every new account as a separate contact. We can't merge existing duplicates. Having issues with your QuickBooks Online integration? Here are some common errors and how to fix them. Contacts push limitation The QuickBooks Online system has a known limitation that doesn’t allow 2 individual contacts with the same name to be pushed through to QuickBooks. For example, in QuickBooks, there exists a contact with the name John Doe with the email johndoe@onesaas.com. When integrating with another system, QuickBooks Connector gets another John Doe contact, however with a different email address and contact details (johndoe2@onesaas.com). Because of this, QuickBooks Connector will treat both John Doe records as separate contacts. However if we try to push the new John Doe into QuickBooks, the QuickBooks API rejects this on the basis that the name is a duplicate. When this happens, we'll automatically append the second contact with a '-1' (John Doe-1) to send it through to QuickBooks Online.
