Same item in different categories

Hi everyone,

We are trying to do the following but we have no idea if this is possible or how to do it.

We sell spare parts for a HVAC products. We have parts that are compatible with various unit.

We want to have our system setup as below:

Item 001

Subitem of Machine 1

Item 001 (same item)

Subitem of Machine 2

Item 001 (same item)

Subitem of Machine 3

...

When we do that, we create a duplicate of item 001 every time and it does not share the number of item in stock. The first one has the quantity in stock but the following have 0. We want item 001 to share it's stock between all the subitem.

Maybe this is not possible or we are doing it wrong but we don't see how we can achieve that.

Thank you for your help.

Thanks for sharing the details with us, @MLFD1.

Having one item in different categories isn't possible in QuickBooks Desktop (QBDT). As a way around, you'll want to enter a description on an invoice stating the item is for Machine 2 or 3. This way, you can keep track of the categories you sell on one item.

I've attached a screenshot below for your visual reference. Another way is to go to the App Center menu and look for a third-party app that lets you set one item into different categories. You can also visit our Apps for QuickBooks Desktop page for reference.

Let me also add this link that you can utilize for reference on how to adjust your inventory quantity seamlessly: Adjust your inventory quantity or value in QuickBooks Desktop.
