Question

Invoices are showing wrong dates and invoice numbers

As of the past month randomly my Quickbooks Desktop Pro 2019 has been putting my invoices as 00001 and the dates are back to 2014.

 

I’ve ran all sorts of different possibilities I’ve found to solve this issue but nothing is able to fix it.

 

Has anyone run into this issue and has a solution?

This behavior you're seeing in QuickBooks Desktop (QBDT) happens when a company file preference becomes damaged or corrupt. To resolve this, check the system date and time, reset the invoice number sequence, and run the Rebuild Data utility.

 

First, check the date preferences and system time by following these steps:

  1. Go to the Edit menu.
  2. At the bottom, select Preferences.
  3. Click My Preferences, then look for DEFAULT DATE TO USE FOR NEW TRANSACTIONS and choose Use today's date as default so QuickBooks pulls the current date.
  4. Click OK.

 

Also double-check your computer's system date and time zone. QBDT copies the system date when creating new transactions.

 

Next, reset the invoice number sequence manually:

  1. Open a new invoice.
  2. Manually enter the correct invoice number in the Invoice # field.
  3. Save and close the invoice, then open a new invoice to confirm that the sequence continues correctly. QBDT will remember the last-used number.

 

If the issue persists, it indicates a data issue in the company file. Run the built-in Verify and Rebuild Data tools to repair it.

Also, the date is set for 2014 not current dates. My computer date and time is set properly.

Only one of my companies is having this issue. I’ve tried rebuilding data and it didn’t help.

When creating the invoice it comes up with the proper number but when printing it gives the wrong details.

To resolve this issue, you'll need to recreate or reassign your invoice print template. Since the invoice displays correctly on screen but prints with incorrect details, it's likely that your current print template is either corrupted or linked to outdated data.

 

Since you've already confirmed the system date is correct and rebuilding the data didn’t help, it’s clear that the template issue is likely the cause. Here’s how to switch to a different print template:

 

  1. Open an invoice and click the Formatting tab at the top.
  2. Click Manage Templates, then select a different template or create a new one.
  3. Click Print Preview to check if the correct date and invoice number now appear.

 

If the correct information displays in the preview with the new template, your original template is likely the problem. You can either continue using the working template or recreate your custom template from scratch.
