Notes on Estimates QB Desktop

I'm looking for an easy way to follow up with potential clients and to track why/when we are or are not awarded a job.  Is it a fact that you have to convert a "Lead" into a customer before you can enter an estimate in QB desktop?  Also, if we lose a project, I have been entering those reasons in the notes section on the estimate but cannot figure out how to print those in a report.

I have details to share to address your questions regarding leads and estimates, npazley.

The Leads Center operates as a distinct section within the database that doesn’t impact the customers area in terms of performance. Because of this, it's true that you have to convert the lead to a customer before you can create an estimate.

Allow me to outline the steps for you:

  1. Right-click on the lead and select Convert to a Customer.
  2. Select Yes in the confirmation pop-up window.

Once converted, all of the lead-related information is also translated over to the customer record (contacts, To Do’s, Notes).

With regards to the notes, you'll want to add them in the Memo section after the project is rejected. By doing so, the reason will be included in the report under the Memo column.

Allow me to give you these additional resources in case you need more guidance when running job and sales-related reports:

Don't hesitate to ask for follow-up questions if you require additional assistance when recording transactions with your potential clients. The QuickBooks Team is readily available to ensure that all your needs are addressed.
