adding a Bookkeeper and setting limits

We are adding a bookkeeper to our team and want to limit the possibility of Fraud. How can I make sure that they are not able to send themselves money? Can I approve all payments? I'd love for them to be able to reconcile all accounts, process vendor payments and run reports for us.

Good day to you, jeffeve65. I understand how important it is to set a limitation for your bookkeeper when inviting them to your QuickBooks Online (QBO) account.

 

Once you invite an accountant into your QBO account, they'll be able to review your books, make corrections, and collaborate on any issues.

 

Currently, QBO doesn't have the option to restrict accountant access since the Accountant and Primary Admin have the same level of access. It has the highest level of permissions, and it can manage all users and other admin tasks.

 

To make sure your funds are safe, you can consider disconnecting your bank feeds and only importing bank transactions manually to prevent them from accessing your real-time bank. However, since you want them to also process your vendor payments and reconcile all of your accounts, you may opt out of doing it. You'll want to keep track of your online banking transactions in the meantime instead.

Allow me to chime in and provide insight about making your accountant a regular user in QuickBooks Online (QBO).

 

Yes, it's possible to limit your accountant access to have a few features only. Just ensure to remove your accountant access first. However, please note that there are accountant tools that your accountant can't use once your accountant is changed to regular user or standard user with limited access. 

 

Here's how to remove your accountant:

 

  1. Sign in to QuickBooks Online as a primary admin.
  2. Go to Settings, then select Manage Users.
  3. Select the Accountants or Accounting Firms tab.
  4. Find the accountant you want to remove.
  5. From the Action column, select Delete.
  6. Select Delete.

Don't enable the bank feed feature. Download your QBO files from your financial institutions and ask your bookkeeper to import and reconcile your accounts manually.
