Change email "From" address

I tried to add a web mail provider, but when I select ADD, the email is greyed out and I am unable to change it. The email that is visible and greyed out is no longer associated with the account and I am unable to update it. Why is it greyed out?

Change email "From" address

After I enter the email address and email provider and select OK, an Intuit screen pops up where I have to login, but the login credentials are greyed out without the option to change them. Why is this happening and how may I fix it?

Thanks for joining this thread, RE2019.

QuickBooks Email now requires utilizing your Intuit account log on. Please let's ensure that QuickBooks Desktop is updated to the latest release before proceeding with the steps. If you don't have an Intuit account yet you may check out the manage your Intuit Account online for the detailed information.

Please follow these steps:

  1. Enter your Intuit user ID and password.
  2. Once logged in, you're now able to email your invoices as usual.

Otherwise, set up other emailing services using your Outlook profile or webmail provider. You can refer to this link for additional guide: Connect your email to QuickBooks Desktop

I'd appreciate it on how the steps work. I want to make sure this is taken care of.

Thanks for joining us here in the thread, @hortidirect. I'll share some insights about your concern.

As of the moment, the feature that you are trying to access in QuickBooks Desktop is unavailable. I recommend sending feedback to our engineers, this way they’ll be able to evaluate this and add this feature when the next update comes. You can refer on the screenshot below to send your feedback.

Thanks to everyone who weighed in on this.  My experience was it is, in fact, the Outlook default data file.  To change this I right clicked on the account in the left hand bar >Account Properties > Account Settings > Manage Profiles > Data Files and then I could change the default data file and the correct email is autofilled.

This is a shame as I have 2 companies and will have to make a manual switch for emailing from Quickbooks.

I would like my customers to receive their payment receipts from "our company" not from

Intuit E-Commerce Service

I am using the email drop down then payment to send the receipt. I am using Enterprise 2022  thank you [email address removed]

Change email "From" address

Hi Klent,

My problem is that I am trying to send the invoices from QB online to customers and they are going to spam. I want to change the FROM email address from quickbooks.intuit.com to my own [email address removed]. How do I do it?

Hi there.

Ensuring that your invoices reach your customers' inboxes is crucial for effective communication and timely payments. Let's dive into the following steps and information to help resolve your concern.

I acknowledge the importance of changing the From email address to your own email for your business. At the moment, there isn't an available method to accomplish this.

Discovering new ways to adapt to our customer’s needs is how QuickBooks gets even better. That said, I suggest submitting a product suggestion directly to our software engineers.

  1. Go to the Gear icon at the top.
  2. Click Feedback.
  3. Enter your comments or product suggestions.
  4. Then choose Next to submit feedback.

While we explore the options for changing the From email address, it is advisable to ensure that you unblock or add the service-related email addresses as "safe senders" in your email account. This will help prevent important communications from being flagged as spam and ensure your customers receive them. For detailed information, you may check out this resource: Receive important email messages from Intuit.

Moreover, I've attached some relevant articles you can review to help handle and personalize your invoices in QBO:

Should you require any additional information about changing email addresses for sending invoices in QBO, please feel free to comment below. I am committed to helping you in any way I can.

thank you for the help in getting my email information correct with the new company name. Did that.  My question is that when I send it as a pdf, it is still coming from part of the old name with a date of a backup and then the new name comes up in the rest of it. How do I get that part out of the pdf to show it all coming and information with the new name only?????

This solved the issue. Thanks. A bit more info to help others:

Open Outlook Desktop

Select FILE

select ACCOUNT SETTING dropdown

select ACCOUNT SETTINGS from the list - a popup screen should appear

There multiple tabs: Email,  Data Files, RSS Feeds, SharePoint Lists, Internet Calendars, Published Calendars, Address Book - Select the second tab Data Files

Choose the email address you want Quickbooks to send from as default.

Select the "Set as Default" button above the list.

Close

Then test the forms email in Quickbooks. It should default to the selected account. The default Data Files account can change when you remove and/or add a new email account.  Hope this helps some. It helped me solve this issue!
