I need to copy my current QB company file keep the COA with zero balances. Keep the items. Keep all the ESTIMATES. No invoices needed. No balances. No financials. Can this be done?

You can run the Condense Data utility.

Chrea is correct, Gambit. The Condense Data Utility feature can streamline your company file, however please be aware that this action is irreversible. Alternatively, we can export data from your old company file, create a new one, and then import the desired information. I am here to guide you through the process and ensure it meets your business needs.

 

First, I recommend backing up your current company file to prevent any unintended changes to your original data.

 

Next, create a new company file and import the accounts from your previous file using the IIF file.


Note: You need to rename your new file uniquely to avoid overwriting any existing data in QuickBooks.

 

Once done, from your original company file export your Chart of Accounts and Item. Let me show you how:
 

  1. Sign in to your company file as an admin.
  2. Navigate to the File menu, then choose Utilities.
  3. Select Export, then click Lists to IIF Files.
  4. Select the Chart of Accounts and Item lists you want to export, then select OK.
  5. In the Save in the dropdown, select a location to save your IIF file.
  6. Enter a file name, then select Save.

In importing them to your newly created company file, please follow these steps:

 

  1. Log in to your company file with admin credentials.
  2. Navigate to the File menu and choose Utilities.
  3. Click on Import, then select Import IIF.
  4. Choose the IIF file you wish to import and click Open.

Importing estimates to QuickBooks is possible. However, there is no option to export them directly from QuickBooks; for that, you can explore using our third-party app.

Perfect, well almost. It deleted everything I needed last year and beyond. It won't delete this year stuff because we have payroll. How do I easily delete all payroll data so that I can re-run the utility?
