Thank you for your answer, but this procedure does not show who logged into QB. I am looking for the LOGIN file that shows who logged in and when they logged into the QB program.

I'd be delighted to share with you information on how the audit trail works in QuickBooks Desktop.

 

For starters, QuickBooks Desktop Enterprise keeps a record of each financial transaction as it is added, changed or deleted. By accessing the Audit Trail report, you'll get to see who made the changes in your company file and what changes are made. Lastly, you'll know when it was specifically changed.

 

Just make sure to choose the correct filter to show the information you need. You have to option show only the following: Entered/Last Modified, Last Modified by, Date, Name, and Account.

 

Here's how:

  1. Go to Reports.
  2. Choose Accountant and Taxes.
  3. Select Audit Trail.
  4. Customize Report.
  5. Under Display tab, choose the specific data you want to see on the columns.
  6. Click Ok.

On the other hand, I’ll take note of your idea about a specific and forward this specific add-on feature to our Product developers. You can also share your feedback and feature request directly from your QuickBooks account.

 

Here’s how:

  1. Click Help.
  2. Select Send Feedback Online.
  3. Choose Product Suggestion.
  4. Type in the  details of your request on the pop-out window.

QB employee -- you did not answer the question!

 

The question was if there is a way to track LOG INs of users. Not track what users did while they were logged in, which of course can be done through audit trail. If a user logs in, looks around, runs reports,, and logs out -- is there any way to track that as a control function?

 

My guess is QB does not have this function. If you are on a server with multi-user access you might be able to track server logins.

Thank you for contacting the Community for support. I'd like to provide some additional insight on your question about tracking user log ins.

 

The Audit Log will allow you to view any changes that have been made in the account, the name of the user who made the change, date, etc., as well as any original transactions that have been entered. At this time there isn't a way to view who has actually logged into the system and/or when. This applies to QuickBooks Desktop. I can see how this would be beneficial information to have. Seriously, I have been looking consistently for an app or add on or SOMETHING to track better user activity while logged into the QB file.

 

Hopefully, they can figure something out.

I will let our product engineers know about your suggestion. For now, you can use the Audit Log feature in QuickBooks Online. 

 

Here's how:

  1. Click the Gear icon.

  2. Select Audit Log.

  3. Select the Filter button.

  4. Use the fields on the Filter panel to choose the appropriate UserDate, or Events filter to narrow the results.
  5. Click Apply.

You can look for an app that'll let you track your user's log and activity depending on the QuickBooks version you're using. I'm here to share them and help you from there.

 

To start, if you're using QuickBooks Desktop, you can simply go to the App Center page and enter a keyword (User Activity) in the Search address. From there, you can integrate the app and start using it in tracking your user's activity.

 

Meanwhile, if you subscribed to QuickBooks Online, here's how you can integrate an app:

  1. Go to Apps.
  2. Enter User's Activity in the Search address.
  3. Select the app you want to integrate.
  4. Click Get app now.

For desktop, you can easily find an application compatible with the software in the market place. Aside from this, you might want to search the app by browsing the internet.


Also you might want to check the user log in activities through the QBWin.log. Check this out for more details: QuickBooks.log files.

 

This has all the activities done by a user including opening QuickBooks file. Though, this might be to technical to read. 


For now, I’ll make sure to share this preference to our developers for future updates.

I did check the QBWin.log but we run on a server and the log is stored on each individual computer with I do not have access to.

We can ask an access to these computers, BRCJKP1963. From there, we can get the files and track each user log ins.

Could you give a specific app name that does this? Or a list of potential apps that integrate with QB Enterprise 2019 for tracking user activity? I searched in the app store and nothing came up when entering "User Activity" as suggested in this thread above.

Since we're unable to suggest which application is best for you and your business, I recommend searching through a web search engine.  You can visit the third party's website or customer service support to determine if they integrate with QuickBooks.

 

Once you've found one, please set up QuickBooks Web Connector to exchange data with out program. For the detailed instructions,

Yes there is, this was not a hard question, I dont know why you didnt get an answer.  

To see who has logged into QB, Credit Card Audit Trail feature must be enabled (Company > Customer Credit Card Protection > Enable Protection).  Once the Credit Card Protection feature is turned on, it cannot be turned off and requires a strong password which must be changed every 90 days.  When enabled, user logins are recorded in the Credit Card Audit Trail Report (Reports > Accountant & Taxes > Customer Credit Card Audit Trail).

If you can obtain the IP Addresses from Quickbooks in which the user logged in from, you can hire an IT person/company to track the ISP or you can do it yourself if you're tech savvy. Hiring help should cost no more than $300 at max.
