Question

2 part question about file size/speed. Condense data not delete all transactions? Need to reduce file size

QB Enterprise 2024 Desktop

Randomly today 6 of our workstations are VERY SLOW running qb, opening sales receipts, item list, etc. 1 computer is as fast as normal for no apparent reason. Same exact computer as another with same updates etc. Different company file on my computer runs like normal, just not the retail company which is considerably bigger. This is the first "problem I cant figure out"

EVERYTHING is up to date and rebooted. Same results.

Second issue, our company file is massive because we're a retail business with items back to 2010. Even with Condense data to 2025 we still have thousands of inactive items. They wont delete because they have been used. Isn't when you use condense data it deletes all these transactions to a certain date? If I run quickreport on an old inactive item it still will show a history from whatver year, 2013..

What can I do here?

Thanks for the detailed explanation of your concern, Kevin. Given the sluggish performance on multiple workstations and the file size concerns, it’s possible that your company file or QuickBooks installation has some data integrity problems or corruption that standard steps haven’t fully resolved yet.

To help us further troubleshoot and fix any underlying data or program problems, I recommend installing and running the QuickBooks Tool Hub. This is an official Intuit utility that combines several key diagnostic and repair tools, including those for network issues, company file errors, and program problems.

  1. Close your QuickBooks.
  2. Download the recent version (1.6.0.8) of the QuickBooks Tool HubSave it somewhere you can locate it.
  3. If you've installed Tool Hub before, you can find out which version you have. Select the Home tab. The version will be on the bottom.
  4. Kindly open the file you've downloaded. It is named QuickBooksToolHub.exe.
  5. Follow the on-screen steps to install and agree to the terms and conditions.
  6. Once done installing, double-click the icon on your Windows desktop to open the tool hub.

Step 2: Run Quick Fix My Program

  1. In the QuickBooks Tools Hub, select Program Problems.
  2. Select Quick Fix My Program.
  3. Start QuickBooks Desktop and open your data file.

Regarding your second concern, I would like to clarify that even if you condense all the transactions, the old inventory items will still remain in the system. This is particularly true for items that are already used. While you cannot delete these items entirely, you do have the option to mark the associated transactions as Inactive.

Let us know if you have further questions. We'll be right here to help you anytime.

I ran the tool hub. quick fix and program diagnostic tool. Nothing seemed to happen. I restarted computer. And still when I go to even open customer list it takes about 20 seconds to let me click anything. I've never experienced this before and nothing changed overnight.. Like I said, 6 of the 7 of our computers are slow and one is normal. And another company file on my computer works fine..

Thank you for following the troubleshooting steps to address the slow performance issue, Kevin.

Please note that QuickBooks Desktop (QBDT) has specific system requirements  to ensure optimal performance. Since the program is running smoothly on one computer, I suggest checking whether the other six computers meet these requirements.

If you've already verified the system compatibility and the issue persists, I recommend contacting our live support team. They can assist you further and perform advanced diagnostics on your company file to resolve the issue.

Here’s how to contact support:

  1. Open your QuickBooks account.
  2. Go to the Help button.
  3. Click the Contact Us button, then type your issue in the What can we help you with? Box.
  4. Once done, click Continue.
  5. Choose the How you would like to connect with us option.
