I am needing to get remote access for QuickBooks pro and I cannot figure out how to get access to this feature.

Currently, I am obtaining my clients computer to maintain her books and it's a hassle, espcially this time of the year. When I was using her QB on her laptop, a popup came up within QB and said something about QuickBooks Remote Access for 7.95 a month but I cannot find anymore information on this and I cannot figure out how to get it setup. This is a small business so spending $50 a month for remote access from another company is out of the question.

That was discontinued about 5 years ago. I am guessing your client has an Really Old QB program on that computer.

If you are the network administrator, just setup a VPN either by using a SonicWall Firewall or through the Domain Controller some other router and access the QuickBooks by using the Remote Desktop Connection on a local machine in your client's office. This would be the Safest and the Fastest way to access QuickBooks Remotely.

Or you can host your QuickBooks which would be a more expensive route.

I'll guide you on how you can remote access QuickBooks data from one computer to another. Normally, you'll just have to configure some settings to enable it. Here is the step-by-step process on how to do it.

 

First, you'll have to install the QuickBooks Database Manager on your remote computer for multi-user access configuration. Here's how:

  1. Download & Install QuickBooks Desktop on the main computer.
  2. Go to the File menu then choose Switch to Multi-user Mode.
  3. Choose Yes in the Multi-user hosting setup required window. Note: QuickBooks Desktop installs and runs QBDBMgrN.exe as a background service. This service must be running on the computer storing the company file even if QuickBooks Desktop is not open.
  4. Click OK on the Multi-user setup information window then add the necessary users by going to Company and selecting Users then Set up Users and Roles and then select New.

 

Second, turn on network discovery and password sharing off to access QuickBooks remotely over the network. Here are the steps how:

 

  1. Open Control Panel 
  2.  Select Network and Sharing Center, then choose Change advanced sharing settings.
  3. Expand the Profile type that you are currently using.
  4. Choose Turn on network discovery under Network Discovery.
  5. Select Turn off password protected sharing under Password protected sharing
  6. Hit Save changes once done.

 

Lastly, locate and open the company file you wish to remotely access. Here's how:

 

  1. Go to the File menu then select Open or Restore Company.
  2. Choose Open a company file, then Next.
  3. Browse the location of the company file.
  4. Click the company file (with file extension .qbw) from the list and select Open.
  5. Enter your user name and password if prompted.

How do we setup remote access on QuickBooks PRO 2013?

That version is supposed to have remote access feature, but when we go to File tab there is no "remote access" option. (As referenced in the QB help)

 

The above instructions did not work. We see no way to access or open the QB file on the host computer, which is running Widows 8.

There's no built in feature I know of. Instead use remote access software to log into remote computers where QB is installed.  Teamviewer works well, and there are others.

If you use Google Chrome as a browser and sync/personalize it with a gmail address you can use 'Chrome Remote Desktop' for free!  It's not as robust as TeamViewer or LogMeIn but I use it in concert with a cloud storage service (DropBox) and  find it to work perfectly.  QBs really should have a remote access protocol built into the accountant's version but they want to sell everyone a subscription to their online products.

Has anyone tried Chrome Remote Desktop? I read you can do it with that if both computers are running the extension? and it's free. Also read that if both computers (remote and computer to access) are running Windows 7 or above you can do a remote access.

Yes. We use chrome remote access on all our computers. It's so much easier to log in and update proceed directly from anywhere without having to export, download and import.

That $7.95 pop-up was for QuickBooks Remote Access, an old Intuit add-on. Intuit retired it, so you won’t be able to set it up now.

For QuickBooks Pro (Desktop), the practical options are:

  • Chrome Remote Desktop (free): install it on the client’s PC, set a strong PIN, and you can work inside their computer remotely.
  • Windows Remote Desktop: only if they have Windows Pro/Enterprise (not Home). Use a VPN—don’t leave it open to the internet.

If you want a cleaner long-term setup: QuickBooks hosting moves QuickBooks + the company file to a managed server so you can log in from anywhere without relying on the client’s laptop being on.

Whatever you choose, make sure backups run automatically.
