Banking Rule Limitation??

Our company has thousands of credit card banking transactions every month and rules help to automatically add those transactions to the right vendors.  I have hit 2000 rules and it now states that "Something’s not quite right You have reached the maximum limit for creating rules. Please delete some unused rules, to add a new rule."  Is there really a limit on the number of rules you can create?....how can I resolve this?  Manually adding transactions in our account would be very time consuming.

Banking Rule Limitation??

Hi Duller03,

Thank you for letting us know about the error you received when trying to add bank rules. I can see how much it would help if you can add more, knowing the number of transactions you have.

As of the moment, we haven't got any news about having a limit for the number of bank rules. It's not stated in the articles for bank rules and usage limit. Therefore, I would recommend doing the browser troubleshooting steps to see if the error is just caused by random browser issues. However, if you still get the same behavior, you'll want to contact our QBO Support so they can gather more data using more tools to investigate this further.

We can start by signing in to your QBO company using a private window. This step will disable the extensions and stops the cache from saving your search history.

  • Google Chrome: Ctrl + Shift + N.
  • Safari: Command + Shift + N.
  • MS Edge and Firefox: Ctrl + Shift + P.

If private browsing lets you create more rules, you can clear your browser's cache. If not, please use a different browser to see if this only happens to the one you are using.

To contact our QBO Support:

  1. Go to Help and select the Search tab.
  2. Click Contact Us at the bottom.
  3. Enter a sentence to describe the issue and click Continue.
  4. Choose Chat or Callback.

I'm just right here if you have more questions about bank rules or anything about QuickBooks. Have a good one!

Banking Rule Limitation??

Thanks for the response.  I already have attempted to clear my cache and use an incognito browser window to see if there would be any difference but unfortunately not.  I also did chat online with support and they had no definitive answer for me either.  They basically said that there is no limit to rules but if you do a lot of transactions there could be a limit.  I mean what??   there is no limit but there is a limit?....I dont get it.

Banking Rule Limitation??

Hi there, @nitinatideb. I'll share some information about creating bank rules in QuickBooks Online (QBO).

Yes, there is. In QBO, you can only create up to 2,000 bank rules. Since you can only create 700, we can perform some troubleshooting steps as it could be related to your web browser. We can start by accessing your QBO account through an incognito mode. This does not store cache which has the potential to become corrupted and cause unexpected behavior.

Below are the shortcut keys you can use:

  • Google Chrome: press Ctrl + Shift + N
  • Mozilla Firefox: press Ctrl + Shift + P
  • Microsoft Edge: press Ctrl + Shift + N
  • Safari: press Command + Shift +N

Once done, go to the Banking page again and create bank rules. If this works, go back to your regular browser and clear the cache to eliminate piled-up data that might cause the issue. If you still can't create more than 700, you can use another supported browser or device. Might be that the current one you're using has a temporary issue with QBO.

For reference, check out this article: Set up bank rules to categorize online banking transactions in QuickBooks Online.

However, if the issue persists after performing the steps above, I recommend reaching out to our Phone support team to further investigate the issue. They can check your account's setup through a screen-sharing session if you request one and help you fix it.

Then, to ensure that your account's balance matches your real-life bank statement, it's recommended to perform the reconciliation process regularly.

If you have other concerns about managing your bank rules, please don't hesitate to leave a reply below. I'm always here ready to lend a hand.
