How do I match bank transactions older than 6 months in QuickBooks Online?

I have two separate bank accounts in my client's QB - PayPal and a normal banking account. The bank account funds the PayPal account via bank transfers and PayPal uses those funds to pay contractors. My question is how do I match 6+ month-old transfers from the bank account to the PayPal account? I was told by the QB support team that anything over 6 months old would not match due to the age of the transaction. If I go into each account and select "transfer" to record the transaction in each bank account, I will see a double entry on my balance sheet thus throwing it off drastically. 

Instead of recording double entries and then going back into the balance sheet to correct the error (zeroing out or voiding), is there a better way to go about this and essentially not have to do double the work?

There's no hard 6-month cutoff for matching in QuickBooks Online. What's happening is that the Find other matches screen opens with a default date filter that hides older transactions. If you clear that filter, the transaction should appear as long as a few conditions are met. Let’s take a look: 

 

Steps to match an older transaction:

  1. Go to Transactions > Bank Transactions and open the account.
  2. In the For Review tab, click the downloaded transaction to expand it.
  3. Select the Match radio button to see suggestions.
  4. If your transaction isn't in the list, click Find other matches.
  5. On the next screen, clear the date filter completely — remove both the start and end dates.
  6. Locate the recorded transaction by amount and select it.
  7. Click Match.

 

Two things need to be true for matching to work: the amounts need to align (the downloaded amount should be greater than or equal to the recorded amount), and both the downloaded transaction and the recorded transaction need to be in the same account in QuickBooks Online.

For inter-account transfers (checking funding PayPal, for example): Record each side as a transfer, not as an expense. Go to the downloaded transaction, select Record as transfer, and choose the destination account. Do the same on the other account's side. This keeps the balance sheet accurate without creating duplicate entries.

 

If the transaction still doesn't show up after clearing the date filter: The accounts may not be the same on both sides, or the amounts don't align closely enough for the system to surface it. In that case, you can exclude the downloaded transaction to prevent a duplicate without deleting the recorded one: Exclude a bank transaction downloaded into QuickBooks Online.

Welcome to the QuickBooks Community, @Bdonahue. Let me assist you in matching or excluding your bank transaction in QuickBooks Online (QBO) to avoid recording duplicate entries.

 

If QBO is unable to find a matching transaction from existing records, you can select the Find other matches option to view the list of other possible matches. Here's how:

 

  1. Go to Transactions and select Bank Transactions.
  2. Click the blue tile of the bank account, then go to the For Review tab.
  3. Select the transaction to expand the view. Then, click the Match radio button to show the list of possible matches.
  4. Set the date range. Select the checkbox of the transaction.
  5. Click Match.

 

If it's not showing, you can exclude the transaction so it won't show as a duplicate in your books. 

 

Moreover, we recommend reconciling your accounts monthly to ensure your bank transactions match those on your bank statements.

Is there any way to bypass this 6-month rule? I'm still having this issue even on some transactions that are not 6 months old. Additionally, when I search for potential matches the system will bring up "potential" matches that are almost a year old and nowhere near the same dollar amount. 

 

It just doesn't make sense as to why QB wouldn't allow for matches to be over 6 months old yet they will attempt to match transactions that are even older and have no correlation whatsoever.

Thanks for getting back on the thread, Bdonahue.Allow me to provide additional insights about matching transactions in QuickBooks Online.

 

If you have manually entered transfers in QBO, be sure to match them with your downloaded transactions. Categorizing them as transfers can lead to duplicates.

 

Furthermore, QBO does not enforce a 6-month rule for categorizing transactions. You can choose the date range within the system when searching for a match. If the transaction is not visible, you can exclude it to prevent a duplicate in your records. 

 

We also suggest that you reconcile your accounts on a monthly basis to verify that your bank transactions align with those on your bank statements.

I have a similar issue of not being able to match a transaction that is over 6 months old. For Example, I have a check that just cleared the bank after a year. The check is unmatched and unreconciled, the check number, amount and date are all correct. The transaction will not match even when selecting the “find more matches” button and changing the date filter to the appropriate dates. I dont understand why, even after changing the date filter the check no longer shows as availible for a match or any older checks dont show. Is there a work around for my issue?

Clicking Match may only find suggested matches. However, clearing the date filter on the Find other matches page should allow you to find the appropriate match as long as the transaction date matches and the amount of the downloaded transaction is slightly greater than or equal to the amount of the recorded transaction.

 

Additionally, ensure that both transactions (the downloaded one and the one you recorded) appear in the same account for successful matching.

I tried all of the suggested. I ensured that both transactions appear in the same account. I cleared the date filter on the “Find other matches” page. The transaction dates match and the amounts match. The match filter simply does not work past 6 months. Why is it an issue that I cannot see checks older than 6 months even when I try your solution? Is there anything else that I can do to resolve my probelm other than what was suggested?
