What is the best approach to replace a stale dated check in QBO? The stale dated check was dated April 2024 and is outstanding as of December 2024. Replacing this stale dated check this month of March 2025? Your suggestions are greatly appreciated.

Since the previous accounting period is closed, it's essential to handle the stale-dated check without impacting past financial records. Creating a bank deposit entry in March 2025 is an effective solution to offset the stale-dated check while preserving prior transactions.

 

To create a deposit, here's how:

 

  1. Select + New and click Bank Deposit.
  2. From the Account ▼ dropdown, choose the same account as the original transaction is posted.
  3. Mark the checkbox beside each transaction you intend to consolidate.
  4. Ensure that the sum of the selected transactions aligns with the amount on your deposit slip, using the slip as a guide.
  5. Click Save and Close or Save and New to finalize.

    Thank you ClaireSamanthaS. I think I am following your suggestion. Just to clarify, the deposit needs to be matched to the stale dated check in order to remove both items from the bank reconciliation, correct?

    I appreciate you following the troubleshooting steps suggested by my colleague, @DEE78023. Yes, you'll need to match the created deposit to the stale dated check to clear them when you reconcile.

     

    Once you've successfully cleared the deposits against the stale checks and are ready to reconcile your accounts, here's how:

     

    1. Go to the Gear icon and then Reconcile.
    2. From the Account dropdown, select the account you want to reconcile. Make sure it's the same one on your statement.
    3. Review the Beginning balance. Make sure the beginning balance in QuickBooks matches the one on your statement.
    4. Enter the Ending balance and Ending date on your statement.
    5. Review the Last statements ending date, which is the end date of your last reconciliation. Your current bank statement should start the day after.
    6. When you're ready to start, select Start reconciling.
