We are a cond association and the residents pay condo fees. One resident east past due so she wired money into our acct but not sure how to show it in QBO.

I'm glad to assist you so you can enter the wire transfer accurately in QuickBooks Online (QBO), hhe4300.
 
If the wire transfer was a payment to an existing invoice, let's record a Bank deposit and enter the invoice payment transaction afterward.

 

Let's start by generating a Bank deposit affecting your Accounts Receivable (A/R) account. This way, the created data will be visible as a Credit that we can link to the invoice payment to record the transaction accordingly in the system.

 

  1. Go to the + New menu and choose Bank deposit.
  2. Choose the transfer location from the Account dropdown. Then, modify the Date you received the transfer.
  3. From the Add funds to this deposit section, choose the individual that initiated the transfer from the Received From column.
  4. Enter Accounts Receivable (A/R) in the Account field. You may also add a Description (optional).
  5. Select the + Add new option on the Payment Method dropdown and input "Wire Transfer". Once done, click Save.
  6. Input the transferred value in the Amount field.
  7. Double-check everything. Then, once set, hit Save and close.

 

Next, let's record the invoice payment and select the recorded Bank deposit from the Credits section of the Receive payments page. Here's how:

 

  1. Go back to the + New menu and select Receive payment.
  2. Choose the Customer and modify the Payment Date.
  3. Select the Wire Transfer as the Payment method and pick the Account the amount was transferred to from the Deposit To dropdown.
  4. Tick the Checkbox for the Invoice that is associated with the transfer.
  5. Scroll down to the Credits section and click the Deposit you've recently created.
  6. Once done, hit Save and close. After this, the invoice balance will be cleared and marked as Paid.

 

However, if the transfer is not associated with any invoice, kindly generate a regular Bank deposit and choose any sales account from the Account column of the Add funds to this deposit section.
