Employee hours not earned

Our team works 4 days/week for 9 hour shifts.  We are considering opening on a few half-day Fridays/month.  In order to staff those days, some staff will give up a 9 hour Tuesday to work 6.5 hours on Friday.  We would like to compensate them for the full day for agreeing to work on a Friday.  How would you assign the extra 2.5 hours in payroll?

I can guide you through how to enter the extra hours in QuickBooks. You can either add the extra hour manually when you create the paycheck or create a new hourly item for it. 

 

To add an item, let's go to your employee's profile. Here's how:

 

  1. Go to the Employees menu at the top.
  2. Choose Employee Center.
  3. Select the employee's name and edit. Then, tap the Payroll Info tab.
  4. Under the Earnings section, tap the next row and from the drop-down pick Add New.
  5. You'll be routed to the Add new payroll item window, enter the new Hourly Wages details. See the images below.
  6. Select Next until Finish.
  7. Click OK.

In order to pay them for the hours, you either need to enter 9.0 hours at their regular pay rate, or increase the pay rate for Friday and pay them for 6.5 hours.

 

If the employee makes $20 per hour, for example, pay either:

9.0 hours * $20.00 = $180.00

6.5 hours * $27.70 = $180.05

If you pay a different rate, you might use a different hourly earnings item for Friday's pay.
