IFF ADP Payroll GL Posting File Import Failure

IFF Import Failure Notice - 2.JPGIFF Import Failure Notice.JPGWe've been following the same procedure for downloading and posting our payroll's GL entries from ADP for a few years now without a problem.

A few weeks ago we received an error message [We weren't able to import your file] when we tried to import the IFF file. (error message attached)  

When we follow the prompts for what's next and select the review now to look at the error report created in the IFF process we get a second failure notice saying [Problem: you are trying to open a QuickBooks file. Only QuickBooks company files can be opened this way. (error message attached)

While we can manually enter the GL to post our payroll created by ADP (our external payroll service company), we prefer to eliminate the opportunity for data entry errors by posting it directly as we had done every two weeks for the past 2-1/2 years before this error suddenly popped up.

Has anyone else encounter this type of situation?  If so, how was it resolved?

You have a well-established process for managing payroll entries using ADP and QuickBooks Desktop (QBDT), @DEW2022. I admire your commitment to ensuring accuracy and reducing errors. With this, I want to guide you to resolve the error and continue importing your payroll GL entries.

 

First, I recommend ensuring that your QBDT is updated to the latest version. Updates contain fixes for issues that could be causing the import failure. You can then try reimporting the file. If it still doesn't work, we can proceed with the next step.

 

Based on the second screenshot you've provided, let's consider the possibility of the file named Paydate11222024_1119135336_1203120127.IIF has a different file type despite its .IIF extension in its name. Let's go through the process of re-importing the file to locate it and verify this. You can follow these steps:

 

  1. Go to the File menu, select Utilities then Import then IIF Files.
  2. Select Import IIF.
  3. Locate the file, then select OK.
  4. Once the import is successful, you'll see the number of lists and transactions imported. Press Done.
  5. Select Open in folder to open the folder where the .IIF file is located.
  6. Right-click on the file and choose Properties.

 

If the file type is different, you can try downloading the file again from ADP Payroll and reimporting it once more. However, if this still doesn't work or if the file already has the correct IIF file type, I encourage reaching out to ADP Payroll support for further assistance.

 

On the other hand, if you've ensured that there's no issue with the IIF file, we can perform a workaround to import it, bypassing the usual checking of the file. Here's how:

 

  1. Go to the File menu, select Utilities then Import then IIF Files.
  2. Choose the Import it for me. I'll fix it later option to bypass data review. Please know that this requires that you switch to a single user.

  3. Once the import is successful, you'll see the number of lists and transactions imported. Press Done.

 The recommendations have not resolved the issue.  We have the most current QB version installed. We will run the file tools to repair any corrupted files and hope that resolves it.  We will update you on this next step shortly.
