QB Online Payroll Processing Time

Hello,

The other day I attempted to edit a paycheck before the QBO defined deadline, but was unable. The payroll was for a next day direct deposit, with a deadline to submit at 5pm(PT). I submitted the payroll I believe around an hour or two before the attempt to edit, but I wasn't truly paying attention. I have been able to edit a paycheck previously after submitting payroll, but I think it was within 10 minutes or so after.

My question is if there is a determined timeframe after submitting payroll where you can edit the paychecks. I'm guessing its about 30 minutes, but I was curious if I could get a defined set of time for future reference.

Thanks for the help!

I understand that having accurate paycheck details is crucial for maintaining your payroll data, Taner. Allow me to share some information on how to edit a direct deposit paycheck in QuickBooks.

The process of editing a direct deposit paycheck depends on its processing time. We usually offload direct deposits at exactly 5:00 PM Pacific Time, two banking days before the paycheck date.

If you have already submitted your payroll before the offload schedule and you want to make changes to the direct deposit paycheck, you will need to void the payment.

Voiding a paycheck sets the paycheck dollar amount to zero and allows you to make adjustments to balance your books. However, this does not stop a direct deposit from processing and does not return funds to you.

If you need to void a paycheck, here's how to do it:

  1. Hover over the Payroll menu and select Employees.
  2. Click Paycheck list and select the paycheck(s) you'd like to delete or void.
  3. Choose EditDelete, or Void, and hit Yes

If you're unable to make the change, you will receive a message explaining the reason. You can contact us if you further help with your paycheck.

For more details and information about fixing an employee paycheck, you can refer to this article: Edit, delete, or void employee paychecks

I'll be adding this article for your convenience to learn more about the deadlines for canceling direct deposit paychecks in QBO Payroll, you can refer to any of the following:

QB Online Payroll Processing Time

Sorry I thought I had replied to this. Every time I went and typed a response it wouldn't go through because I took to long to finish my reply. Forgive me as this is my third attempt now.

Thank you for submitting your response. I have located these articles previously and they didn't have the answer I was looking for. I am trying to see if there is a specific amount of time after you submit payroll that the direct deposit is processed and therefor unable to make changes to a individual check. I have been able to make a change during a previous payroll after submitting payroll and I'm curious to find out when is the last chance to make that change for direct deposits.

Thanks for your assistance as always!

I appreciate you for returning to this thread and providing an update about your concern, @taner81man.

Allow me to join and provide information about making changes or editing a direct deposit in QuickBooks Online Payroll (QBOP).

To begin with, it's important to note that once direct deposit checks have been processed, they can't be edited or deleted. If you need to change it, you'll have to void and reprocess it. Also, If the check has already been offloaded and processed by Intuit, you'll need to wait for it to be deposited before any modifications can be made.

You might want to check this article to learn more about correcting payroll and the process for direct deposit: Correcting Payroll.

On the other hand, you'll need to review or check your funding time first to determine the last chance to make a change for your direct deposit.

  • Same-day lead time: Workers are paid the same day you send your payroll to us.
  • Next-day or 1-day lead time: Workers are paid the next banking day after you send your payroll to us.
  • 2-day lead time: Workers are paid two banking days after you send your payroll to us.
  • 5-day lead time: Workers are paid five banking days after you send your payroll to us.

For reference, you can check this article: When to send your direct deposit payroll.

In case you want to run a payroll report to print and customize it, check this article: Run payroll reports.

Feel free to click the Reply button below if you have other questions about direct deposit or QBOP-related concerns. I'll be around to further help you.
