Due to the size of our current database.  We would like to condense our Desktop database file.  Can you provide instructions on how to proceed?

Hi there, Brita2.

In QuickBooks Desktop (QBDT), you can use the Condense Data utility to streamline your company data file and improve performance. When condensing data in QBDT, you can choose to keep all transactions but remove audit trail information, or remove specific transactions from your company file.

Please note that condensing data is irreversible. Before proceeding, reconcile all accounts and print or save reconciliation and discrepancy reports in PDF format. Then, back up your company file.

Once everything is ready, follow these steps to condense your data:

  1. Go to the File menu at the top.
  2. Select Utilities, then Condense Data.
  3. Select the best option on how you want to condense your file, then click Next.
  4. Choose what transactions you want to remove, then click Next.
  5. Click Begin Condense.

For more information about the process, you can read this article: Use the Condense Data utility.
