Creating subprojects

Is it possible to create subprojects under existing projects in QuickBooks Online Advanced, either using QuickBooks functionality or a 3rd party app?  If not, how are other QBO Advanced customers dealing with this limitation?  Is there another version of QuickBooks that allows this functionality?

Currently the ability to create subprojects under existing project is unavailable. Alternatively, you can  create sub-accounts i to help organize your projects without billing them directly to clients. Here’s how you can manage this:

 

  1. Go to the Chart of Accounts.
  2. Click on New to create a new account.
  3. Select the appropriate account type and enter a name for your sub-account, ensuring it’s linked to the main project account.

  1. Click the Gear icon in the upper-right corner.
  2. Select Feedback under Profile.
  3. Share your feedback.
  4.  Click Next to submit.

Thank you, Abegail.  I'm not seeing a way to link a new account in Chart of Accounts to the main project account as you suggested.  Did you mean to say to ensure to link it to the parent account in the Chart of Accounts?

 

The whole point in wanting subprojects is to be able to bill customers as each subproject is completed.  Since you mentioned "help organize your projects without billing them directly to clients", I don't think this is a viable option for us.

Thanks for following up with the Community, Paul2410.

 

When creating a new account in your Chart of accounts, you can make it a subaccount by ticking its Make this a subaccount option. After doing so, you'll be prompted to choose a Parent account for the subaccount to be under.

 

Here's an image showing this process:
 

 

Once you've finished entering all of your account's details, select Save to save the account into your books.

Hi Abegail.  In your first response, you said "ensuring it's linked to the main PROJECT account".  Did you mean PARENT account?

Greetings, @Paul2410. Let me dive into the conversation and share some insight regarding this matter.

 

To clarify, yes, the Project account my colleague means is the Parent account affected by the transactions you created within the project. While this is a viable workaround, it can be a lengthy process that requires collaboration with your accountant since we are creating new accounts in the Chart of Accounts.

 

You may also consider using a Tag/Tag Group to track transactions for the sub-project. By assigning these tags to the transactions, you can easily identify completed transactions for the sub-project and bill them to your customers. I'd be glad to show you how. You can follow these steps:

 

  1. Go to the Gear icon.
  2. Select Tags.
  3. Click New and choose Tag.
  4. Enter a Tag Name.
  5. Choose one of your groups to apply the tag to.
  6. Hit Save.

Note: This action generates the tag which you can apply to any sale or purchase forms like invoices, sales receipts, or expense transactions. To include already existing tags in forms, just type the name in the Tags field and select it. I've attached a couple of screenshots for your reference in applying tags to your forms.

Thanks, Jury. I understand how tags can be used to track certain aspects of your business. I'm not seeing how tags can be used as a work-around for not being able to create subprojects in QBO.  The ability to mark a subproject as completed and then billing for all the costs associated with a subproject seems very different than tagging individual transactions and I don't see how this method could work for us.
