estimates and invoices

I support a company that uses Quickbooks via our cloud service. They had some issues that were corrected but in that process somehow there were 7 estimates that were auto-converted to invoices and emailed to the customers. I say auto-converted because the user did not convert them to invoices herself. When she came back the next day after the other issue was fixed she noticed that when she went to work on one of those estimates that it was now an invoice and had been emailed out. 2 questions - 1) is converting an invoice back to an estimate (if incorrectly made an invoice) and 2) is there a way to see how and why this happened? I can't find anything online. Thanks

estimates and invoices

I appreciate you laying out the details of your concern, @davemferguson.

I’m here to share some insights about your estimate that suddenly converted back to an invoice, so you’ll be able to get back to business in no time.

QuickBooks Desktop records each financial transaction as you add, change, or delete it. I suggest pulling up an Audit Trail report. This way, we can identify how and why your estimate was converted, and we'll also know when it was specifically changed.

I’ll show you how:

  1. Go to the Reports menu, and choose Accountant and Taxes.
  2. Choose Audit Trail, then click the Customize Report.
  3. Under the Display tab, choose the specific data you want to see in the columns.
  4. Select the date range of the report.
  5. Click Ok.

Another way around, you’ll also want to delete the invoice and recreate the estimate.

Moreover, I'm including these great resources to help you manage and generate reports to show the information you need in QBDT:

Should you have any other questions or concerns about managing your sales transactions in QBDT, you can always get back to us anytime. I'd be glad to help you and resolve it right away. Have a great day and take care!
