I need to modify an existing Estimate number by adding a revision number to it. How do I do that?

You can update an existing estimate number in QuickBooks Online (QBO) by customizing the estimate number field and adding a revision number, office322.

To ensure you can make these changes, you’ll need to enable the Custom transaction numbers feature. 

Here’s how:
 

  1. Navigate to the Gear icon in the top-right corner.
  2. Select Account and Settings.
  3. Head to the Sales tab, then locate the Sales form content section.
  4. Click the Edit icon, toggle the Custom transaction numbers feature on, and Save your changes.

  5. Hit Done to exit the settings page.
     

Once you’ve enabled custom transaction numbers, you can edit the estimate number field to include your revision number by following these steps:
 

  1. Go to the Sales & Get Paid tab on the left-hand menu.
  2. Navigate to the Sales transactions section.
  3. Find the specific estimate you want to revise and click View/Edit on the action column.
  4. Locate the Estimate Number field and edit the number by adding a revision identifier (e.g., "change E1001 to E1001-Rev1").

  5. Click Save and close.
     

Moving forward, QBO will automatically continue the numbering sequence based on your last entry. For example, if you update an estimate to E1001-Rev1, the next estimate you create will also be numbered E1001-Rev2.
