Remote access for Quickbooks Desktop

Hi there, @SL13.

I'll make sure you'll be able to access the QuickBooks Desktop account remotely. Let me share with you some insights about hosting the company files.

As you can see, Fiat Lux - ASIA shared a way to access QuickBooks Desktop remotely by utilizing Chrome Remote Desktop plug-in for free.

I'd like to add another option, which is QuickBooks Desktop hosting.

Make sure to have a hosting service to access your QuickBooks data file stored at a different location. Store all your QuickBooks company file on a service provider's servers to allow users to access QuickBooks securely,  and remotely. You need to have access to the internet for the remote desktop connection.

I'm providing you articles to refer to in hosting the QuickBooks company files:

Just a piece of additional information, I'll share with you an article to learn more about setting up your software at home, check out this article: How to set up QuickBooks Desktop to work from home.

If you need additional assistance, just click on the Reply button below. I'll be here to help.

Utilize Chrome Remote Desktop plug-in for free. If you need more feature, explore this paid remote desktop app.

If you need to access in multiuser mode at the same time, you will need another solution.

So I need to find a hosting service approved by quickbooks?  Is the chrome remote extension a good idea or no.  Also is the a phone number that I could call to speak with someone to help me through this.  I am no techie.

What kind of access do you need? Only one access in in a single user mode or multi-user mode? Contact us in private and we may help you to decide.

If all you need is one person remote access then all you need  is a simple low or no cost remote desktop application. Windows 10 has it built in. Not sure I would trust Google with my company info (chrome rote desktop)

I prefer Splashtop aka Spladhtop Streamer which is free if your host and remote are on same network and nominal cost for the version that would connect you from anywhere ypu can get wifi.

Any of the above solutions let you take over your home computer when away from your desk and acts just like you were still there.

This means you can use a MacBook or iPad or iPhone to run your PC version of QB Desktop..

If you use or need multi-user access then you will have to install your software a little different. You can self-host , or pay for hosting but in no way are you limited or restricted into using QB/Intuit as the host server.

I have an associate whose QB company files are all hosted by their local internet service provider

At this time I am the only one that needs to be able to access the quickbooks desktop remotely.

You don't need to host your QBD on a 3rd party service. Explore the Chrome Remote Desktop app and compare it to the paid app as I mentioned earlier.

I was able to get this to work for me, but now the question is how to get to print to location printer while in the remote desktop.

The remote printing feature is only available on the paid remote desktop app.

Since your control of your desktop in effect is as if you are using the desktop where it sits only printers connected to it are an option. You are accessing the entire computer, not just QB.

If you need to print at your remote location then I would suggest that you first print to pdf. You may have to save the pdf if your remote device does not open pdf to print in a browser window. Then from your location you would print the pdf to any printer installed on that device.

It is usually a simple task to switch from the full remote desktop back to local system os and may even be as simple as minimizing the remote desktop pane.

Due simply to security issues I would opt for something that requires a nominal payment (splashtop $60/yr)

They use to have a little app, i cant remember what it was called, but it let me connect with my phone and i could do invoices, quotes and see my customer and item lists. It was perfect for what I needed but they ditched that about the time QB online came out. Offsite hosting is out for me because if your internet goes out you might as well go home. I know it sounds silly but it happens quite a bit here. I use a Multiuser environment so that complicates things. Really GotomyPC or whatever seemed to be the best solution when i was using it, granted that was awhile ago now. I will probably tinker with windows RDP. It would be quite nice if i could just put my QB file on a usb drive and plug it into my router, but nope....

Another option, you can setup a simple private solution to run QBD in multiuser mode over the internet which is similar to RDP but doesn't require any IT background to implement. It costs $25 per month per access. You can use the same login in turns between your team to lower your expenses.

Was a little confused while reading through the comments. I have never tried this before so please excuse anything that I should maybe already know. I will be leaving on vacation for a week and would like to access my desktop with my laptop while gone. Exactly how do I go about that? Something was mentioned through Chrome? I would just like to do invoices and maybe run payroll for the one week. What is the cost for this? Thanks for your help.

Posted this down further and was probably not in the right place.

You will need to have a Gmail account on each machine to use Chrome Remote Desktop for free. You also need someone on your computer to hit a button every 15 minutes to maintain the connection. Otherwise your connection from laptop will be ended automatically.

For less than a month, you may consider to setup a simple private cloud solution. It costs $25/month for 1 user access.

If you see yourself doing this regularly, I would suggest QBox.  It is a file-sharing program designed specifically for QB Desktop - $12/month (or $120/yr) and unlimited users.  Each user needs a separate email address so if you have QB on your desktop at work/home and you want to use your laptop on vacay, you will need two email addresses.  It locks the file when in use so there's no chance of a conflicted copy and the company has fantastic customer support if you need it.  It doubles as a secure cloud backup and you can share your company file with a CPA or bookkeeper if necessary.  I have used it for many years and am super happy with it.

If you see yourself rarely doing this, you can use Dropbox to share the file between your computers.  You can use Dropbox's free account as long as your company file doesn't exceed 2GB.  There's no need to hit a button every 15 mins to maintain a connection.  You will just need to remember to open the company file from Dropbox after you get back from vacay.
