Serial Number Tracking

What is the best way to track serial numbers?  We sell car lifts and have anywhere from 20 - 50 on hand at all times.  As of right now I have made an item called S/N and enter them when I enter the invoice.  Only problem with this is I have to download S/N from Quick Report to Excel and then search for S/N.  I'm looking for something more user friendly.  Any suggestions?

Hi Liftco!

Let me assist you with the serial number tracking.

QuickBooks Desktop Enterprise has a serial number tracking feature. With the Advanced Inventory, you can make the serial number mandatory so that the system will ask you to enter one before you save the transaction.

Please follow these steps on how to turn it on:

  1. Go to the Edit menu and select Preferences.
  2. Select Items & Inventory, then the Company Preferences tab.
  3. Click the Advanced Inventory Settings, then select Serial/Lot Numbers tab.
  4. Tap Enable Lot or Serial Numbers, then select Serial Numbers.
  5. From Show serial numbers on the following forms section, choose what type of transactions you want to show the serial numbers.
  6. Set your preferences for warnings for all inventory and assembly items under Default settings for the inventory and assembly items section. Tap OK to save it.

Once done, you can now assign a serial number to your inventory. Additional steps and info can be found here: Use Serial or Lot Numbers.

If you're new to Advanced Inventory, you'll want to check this article: Set up Advanced Inventory. This shows the steps on how to multiple sites, sub-items, and more.

Keep on posting here if you need additional help with this. Take care!
