Workflows Approvals

I understand your dissatisfaction with the current behavior in Workflow, @ch1259. Let me share information on how it works in the program.

QuickBooks creates a task if a workflow notifies one of your team members to review or approve work. All assignments appear in the Task menu so team members can manage everything in one place. Thus, your users can access them.

To prevent users from approving tasks that aren’t assigned to them, you can create a custom task to control your workflow process. Here's how you do it:

1. Go to the Tasks menu.
2. Select Add task.
3. Enter a title and set the due date.
4. In the Assign to dropdown, select the task owner. The user needs to have admin access.
5. Enter a description in the Notes field. These are the instructions for the task.
6. Press Save after. QuickBooks emails a notification to the task owner.

Here are some suggestions to make sure your workflows are running the way you want them to:

• Use workflows in QuickBooks Online Advanced to send reminders
• Add and review tasks for your team in QuickBooks Online Advanced

Thank you for the suggestion. But unless I am mistaken this deson't fix the issue? I tried this and it is only creating another task, which can also be approved/completed by anyone. 

Any clarification would help.

Yes, you're right users can also approve tasks that are not assigned to them. For this reason, I encourage you to submit feedback. That way, our engineers will use your input to consider implementing additional restrictions for task approvals.

1. Click the Gear icon.
2. Choose Feedback.
3. Describe your feedback and click Next.
