Question

Convenience Fee Automatic Invoice

I love this feature of charging my customer's a "convenience fee" for using a credit card payment online.  When a customer pays with a credit card online, it will charge them the invoice amount + 3% (or whatever percent you choose) and QBO would automatically make an invoice for the convenience fee and mark the respective invoice and convenience fee invoice as paid.

Issue:  Starting around the beginning of March 2021, QBO stopped automatically making the convenience fee invoice.  In the attached picture, you can see that this customer made online payments with a credit card.  In February (blue circle), you can see a convenience fee invoice.  In March (red circles), it stopped and the payment is now considered an over payment.  Please fix this QBO!

Hi there, FashionGreekUSC.

I know how important for your business to have the convenience fees properly recorded in QBO. Let me route you in the right direction to get the feature working back to normal.

We’ll have to check the settings of your company to identify the cause of the issue. Also, it requires collating of personal data to access your account.

Reaching out to our QBO Care Team ensures your information is viewed in a secure environment. Once the account is fully verified, they’ll start performing the troubleshooting steps.

When the permanent solution is available, our agents will guide you on how to apply it in QBO. Let me share the steps on how to contact our support team.

  1. Click the Help icon at the top to open the QB Assistant window.
  2. In the Assistant tab, enter the issue/topic in the field box.
  3. Press the Get help from a human link and follow the on-screen steps to complete the process.
  4. Select Chat with us or Have us call you.

For tips and resources to get acclimated to QBO tasks, click here to access our self-help articles. From there, you’ll see the topics for each process including sales and customer transactions.

Don’t hesitate to click the Reply button if you have other concerns. I’ll get back to make sure you’re taken care of. Have a good one.

Hello there, Comomarket.

I'm here to ensure you're able to record the correct convenience fee. Let's access your account via a private window. This helps us determine if this is a browser-related issue.

Here are the keyboard shortcuts:

  • Safari: Command + Shift + N
  • Google Chrome: CTRL + Shift + N
  • Mozilla Firefox or Microsoft Edge: CTRL + Shift + P

Once signed in, check if the fees can be recorded. If yes, let's clear the browser's cache. This helps remove its stored cache so QuickBooks will perform efficiently.

You can also use our supported browsers to have the best experience with QuickBooks.

Additionally, I've also included an article that'll help you include a service fee for products or services you sell to customers: Add Service Fees Manually to Invoices.

I suggest getting back to us if you need help managing your sales transactions. I'm always here to help.
