Accounts receivable

Hi,

I have an invoice in A/R and when I open it the invoice has been paid, how to I remove it from A/R?

Since Accounts Receivable (A/R) is a default account automatically generated by QuickBooks Online (QBO), we're unable to remove a posted invoice from there.

 

However, if you're referring to a paid invoice showing in the A/R Aging report, it's typically brought on by an unlinked payment to the correct invoice. 

 

To remove it from the A/R Aging report:

 

  1. Go to + New.
  2. Select Receive Payment.
  3. In the Customer dropdown, select the customer.
  4. Leave the Amount received section blank.
  5. In the Outstanding Transactions section, put a checkmark beside the open invoice.
  6. Open credits will show in the Credits section. Put a checkmark on the credit you want to apply.
  7. Select Save and close.

 

If the issue persists, you may also delete and recreate the invoice so it will trigger the system to correct the changes.

 

You might also encounter an impaired balance between Accounts Receivable and Accounts Payable. This is usually caused by transactions affecting the balance sheet or there's an unapplied payment. Hi. I am a finance and account manager of a public limited company in India. 
I need the Party wise Account Receivables as at 31/03/2023 from QB. 
Please suggest how I can get it from QB?

We're glad to have you in this thread.

 

We can navigate your Party Wise accounts receivables by going to the Chart of Accounts, then run a report on it. This will help us view the transaction using the specified date you provided. We'll now perform this together.

 

Here's how: 

 

  1. On the left navigation, choose Accounting, then select Chart of Accounts.
  2. Enter Accounts Receivable in the Filter by name or number field.
  3. Click the dropdown icon below the Action column in line with the Party Wise Accounts Receivable.
  4. Tap Run report.
  5. Tick the dropdown on the right side of the Group icon, then choose the Custom dates and enter the date you mentioned. The report will run automatically.


 

Moreover, you can click Customize to lay out what you want to show in the report.
