Audit log in desktop pro

I need to find the transactions that where done by a certain user for the year 2023.

How do I generate an audit trail report "ONLY" for on person on Desktop pro.

I know it can be done in QBO but I cant find the filter to just show the person of interest in Desktop Pro.

When I run it, it show all users and takes forever and is huge since it lists everyone.

Hello there, @DEBookkeeping.

Let me help you generate an audit trail report for a specific person on QuickBooks Desktop Pro. These steps below allow you to customize and filter your audit trail on your QBDT Pro to show the person of interest in QBDT Pro.

  1. Go to Reports, then Account and Taxes, and choose Audit Trail.
  2. On the report screen, click Customize Report.
  3. Go to the Filter tab, select the following, and hit OK
  • Date
  • Name and choose the person you want to generate an audit trail.
  • Account

      4 . Enter the Date Entered/Last Modified.

5 . On your report screen, click the refresh to update your the

              Audit Trail.

You can now successfully view the person you want to trace by doing the steps mentioned.

I'll leave this article if you want to customize any reports you want to generate in QBDT: Customize reports in QuickBooks Desktop.

When I select "Name" it shows my costumers and my vendors.

I want to see the work a specific team member did on specific dates.

example: invoices entered, expenses posted, payments applied etc.

I want to see "last modified by" and just pick a person of interest not scroll down all the working team and try to find the specific person i'm looking for

@SheandL  RE: Let me help you generate an audit trail report for a specific person on QuickBooks Desktop Pro. ..Pick Name and choose the person you want to generate an audit trail.

The Name filter will filter the report for a name on the QuickBooks names list. That is very clearly not what the OP asked for.  Did you even read the question and did you even try the report to see if it answered the question?

The question is:

"I need to find the transactions that where done by a certain user for the year 2023."  Meaning, of course, a QuickBooks user, not a customer or vendor or employee in the company file.

"How do I generate an audit trail report "ONLY" for on [one] person on Desktop pro."..."When I run it, it show all users and takes forever and is huge since it lists everyone."

@SheandL, you didn't answer the question.

I understand you want to see the activity of a specific person on specific dates, @DEBookkeeping.

In QuickBooks Desktop (QBDT), you can only customize the audit trail to include Entered/Last Modified, Last Modified by, Date, Name, and Account. It's not possible to track a specific user's transactions.

I agree that including this on the audit trail report is a great idea, but unfortunately, it's currently unavailable. I recommend sending your comments to help us improve your experience. Here's how:

  1. At the upper right corner, click the Gear icon.
  2. Under the Profile, select Feedback.
  3. Enter your comments or product suggestions.
  4. Then, click Next to submit a feedback.

Here's an article I'd like to share to help you personalize your emails to customers and vendors: Create custom email templates in QuickBooks Desktop.

Drop a reply below if you have further questions about customizing your audit trail report. I'll be here to help. Take care!
