Can I reset my invoice numbers?

Hello there, dan_air1.

 

Resetting invoice numbers in QuickBooks Online is unavailable. Instead of doing it, you can turn on the Custom transaction numbers feature to change the number of previous invoices. Here's how:

 

  1. Go to the Gear icon.
  2. Select Account and Settings under Your Company.
  3. In the Sales tab, enable the Custom transaction numbers feature under the Sales form content section.
  4. Click Save. Then, Done.

 

Once done, we'll see an Invoice no. field where you can enter your own numbering preferences. We can also open the past invoices and modify the number.

Hi there, Can you help me with doing this same thing on Quickbooks Pro 2019 Desktop. My automatic invoice number changed? I didn't think I changed anything but after I added my monthly memorized transactions, the invoice number started off from a different number and format. I don't have the option of going to Sales. Thanks for any help.

I'll show you the way to change the sequence of your invoice number, TheresaG.

 

QuickBooks Desktop will automatically follow the numbering once you've created an invoice. To fix the sequence, we have to enter your desired number for the transaction.

 

Here's how: 

 

  1. Go to the Customers menu.
  2. Select the Create Invoices tab.
  3. Choose the name of the customer.
  4. Add the other necessary details.
  5. Enter the amount.
  6. Under the Invoice # field, enter the correct number.
  7. After that, click on Save and Close to complete the process. 

 

Once you create a new invoice, it'll follow the number sequence you've set up.

Can I reset my invoice numbers?

What if we would like to add letters before our invoice numbers (ie BE1014)?  We use Desktop Contractor 22.0.  I added the "BE" before the invoice number on my last invoice, but when I went to create another invoice it deleted the "BE".

I know a way how you can add letters to your invoice number. You can add a header to your invoice template, so you can manually enter the invoice number with letters. Let me walk you through how.

  1. Go to Customers. Then, choose Create Invoice.
  2. In the invoice page, tap the Formatting tab and then Customize Data Layout.
  3. Scroll down and select Basic Customization.
  4. In the Header tab, look for Other and then mark for Screen and Print. Enter a name in the field.
  5. Click OK. See the attached images below.

 

 

 

With the above steps, you're able to keep track of your invoices that begins with letters.

need option to or not to automatically assign invoice numbers

Quickbooks needs to put options in preferences so we can decide if we want automatic numbering system.
