Class tracking capabilities in Desktop versions

Does QuickBooks (2021) DESKTOP Pro have class tracking for both Income Statement and Balance Sheet accounts - or do I need to buy DESKTOP Premier to get that?

My understanding is that Pro can only track classes in income statement accounts - is that correct?

Thanks!

Thanks for asking this, QSmith.

All QuickBooks Desktop (QBDT) version has a class tracking feature including QuickBooks Desktop Pro.

However, if you're trying to run a Balance Sheet by Class report, this is unavailable in QuickBooks Pro. Instead, you can pull up the Balance Sheet Detail report. It will show you a class column.

Here's how:

  1. Click Reports.
  2. Go to Company & Financial.
  3. Choose Balance Sheet Detail.

You can check out this article for more information on how to customize reports in QBDT: Customize company and financial reports.

Is there a workaround to track expenses by class? I was trying to assign a class to a Check but was not able to do so in the Quickbooks Desktop Pro version. I am currently using Journal Entry (which allows you to assign a class) to record transaction but was wondering if there is a better way. Thanks!

Hi there, Kathy H.

I'll share information about the class tracking feature in QuickBooks Desktop and how these work.

If you're referring to assign a class to a check and was not able to see the class columns, it could be the margins of said entry was accidentally closed. That said, I recommend making sure that all column margins are open on the Check page.

If you're referring to a report to track expenses or check by class, you can run a Payroll Transaction Detail report and customize it. Just filter the data to show the specific transaction type associated with a particular kind of class.

Here's how:

  1. Click the Reports menu at the top.
  2. Choose Employees & Payroll and select Payroll Transaction Detail.
  3. Click the Customize Report button and go to the Display tab.
  4. Choose Class in the search columns box.
  5. Go to the Filters section and select Transaction Type.
  6. Choose a specific transaction type in the drop-down arrow. Then, hit OK.

You'll also have the option to pull up the Check Detail report and customize this to show the class column. To start with, go to the Reports menu ang choose Banking.

For additional information on how you can customize the report in QuickBooks Dekstop to personalize the font and style of the report, you can click this article: Customize reports in QuickBooks Desktop.

Please refer to this article to see other types of transactions that you can assign a class ad how it works: Set up and use class tracking in QuickBooks Desktop.
