Export Data Tool Error

I am running into a data exception when trying to use the "Export Data" tool via the cogwheel settings.  We have used this in the past to run periodic full data backups, but have discovered that the General Ledger Data report in this export is not populating all data.  This is happening across many companies and any time period, so is not an isolated incident.

What appears to be happening is that only "Bill" type transactions are running in the General Ledger report.  Other reports in the Export Data tool seem to be populating fine, but this means this tool is not a sufficient tool for gathering data backups.  Has anyone else noticed this issue? I have clean exports from July 2024 that worked and it looks like September 2024 is when this stopped working appropriately.  Is there a fix from Intuit planned for this? It is a major big for something that should be relied upon for making data backups easier.

Export Data Tool Error

Good evening, @zkarstens

Welcome back to the Community! Let's work together to figure out why this is happening in your account.

Let's get some other details from you before digging further into this issue:

  • Are you exporting more than one report or more than one thing from QBO at a time?
  • Have you tried exporting the report or information more than once?
  • Where are you exporting the information to? (Excel, etc.)

In the meantime, clear your browser's history for some troubleshooting to narrow down the cause.

Please reach back out with these details and we'll review them as soon as possible. We're always here to help. I'll be waiting for your response!

Export Data Tool Error

I am using the Export Data tool by going to the Cogwheel settings and choosing "Export Data" and then choosing "It's a backup".

Reports exported from the main reporting screen export fine.  It is just this tool (which is meant to be used for pulling down backup data across several reports).  The issue persists across several companies and if I use different date ranges as well.

Hey zkarstens,

Thanks for sharing those details! I just want to confirm if you were able to clear your cache and cookies and still experiencing this issue? I am looking forward to your response!  See you in a few.

Yes - I cleared cache and I also tested on a separate browser that doesn't have any cached activity or cookies and the same problem persists.

Thank you for following the troubleshooting steps provided by the previous agents, zkarstens. Let me connect you with our Live Support team. They have the tools to check why the data is not populating correctly in the exported general ledger using the Export Data tool.

Here's how to reach out to them:

  1. Navigate to the Help menu.
  2. Click the Search option and type "contact support."
  3. Choose the Contact Us tab at the bottom.
  4. Enter the question, keyword, or topic you require assistance with.
  5. Follow the prompts, then choose a way to connect with us: Have us call you or Chat with us.

To know more about the support hours of our QBO live support team, please refer to this article: Get help with QuickBooks products and services.

If you haven't yet, we also have an alternative way to export your General Ledger (GL) data to an Excel file. This way, we can ensure that the data displayed in the GL report is accurate and complete. You can follow these steps:

  1. Go to Reports. Then, select Standard reports.
  2. Scroll down to the For my accountant section, and click on General Ledger.
  3. Select the target date from the Report period drop-down menu.
  4. To export to Excel, select the Export icon, then pick Export to Excel.

  1. To save your report, select Save as.

Additionally, consider the benefits of running reports regularly. It will help you manage and track your data effectively and gain deeper insights into your business performance.

If you need additional help exporting your data, don't hesitate to revisit this thread. We're always here to provide detailed guidance and the support you need.

Export Data Tool Error

This is great.  I would like to export my QB data because I have to change nearly a year's worth of data; and I plan to use SAASANT to help me import my changes; but I need to make those changes outside QB inside excel.  I want to do a MASS explort from QB of all my transactions (and splits) such that the QBID is included.  Whatever your instructs/reply is can you be SURE to address the issue of including the QBID (unique identifyer)?

Hello there, Realops.

In QuickBooks Online (QBO), there are multiple unique identifiers that we can find. Can you please specify which specific QB ID you are referring to? This way, I'll be able to address your concern accurately.

In the meantime, you can run the Transaction List with Splits report and then select Account in the Group by field to export all your transactions and splits. I've attached screenshot for your reference:
