How do I link together Ebay-related transactions for reporting?

Good morning!

I run a small business reselling parts mostly on Ebay and a bit on Amazon. I'm new to Quickbooks Online and trying to figure out how to track my sales. I sell hundreds of things a month, and they are mostly unique (I buy one, resell it, and never see that model of product again). I have no need to track inventory stock levels, but here's what I need to do:

 

- Run reports on profitability per transaction

- Run reports on profitability per item (if I have a quantity of more than one)

- Track income per customer

- Run reports on profitability per inventory purchase (I buy multiple items at once, and I currently track the date and location of purchase with each item. I use this in Excel to figure out how much profit I made from each purchasing trip).

 

From what I'm thinking now, each Ebay sale will have multiple transactions in Quickbooks:

- The sale of the product

- Ebay's selling fee expense

- The shipping label cost

- A journal entry transferring money from my inventory asset to my COGs account

 

I need a way of linking all these together so I can see the profit I made per sale. I've thought about making the reference number for each transaction in Quickbooks the Ebay sale number, but I not sure if reporting would work well for that. My most recent idea is making an "Ebay" customer with sub-customers for each actual customer, and projects for each sale. That works great for tracking profitability, but I've not found a good way to sort projects for bulk reporting (like filtering those sales/"projects" that were part of the same inventory purchase).

 

I'm using the SaasAnt Transactions app, so I can import from Excel into almost any area of Quickbooks except tags.

 

I'd really appreciate advice, as I'm new to Quickbooks and it looks like it has real potential! :)

Thanks for your input, but I think I should've clarified my question better.

 

I've tried the OneSaas connector, and while I'm not opposed to it, it doesn't solve my reporting needs. The way I understand it, that only helps with getting the data into Quickbooks. I'm already using a different app that's more flexible in the way it imports my sales data into QBO.

 

What I'm asking for is the conceptual method of tracking my sales in QBO. Basically, how can I associate income, shipping labels, selling fees, etc. all to a certain sale so I can track my profit for that sale and the other reports I listed above.

 

I'm trying to figure out how one could manually record the data to get the reports I need, then I'll figure out the automation later.

I can share some tips in recording the transactions, jadonmmiller.

 

In QuickBooks Online, you can manually record your sales transaction by using an invoice and sales receipt. To link your eBay and Amazon transactions, you'll want to use the class tracking feature. This will help you get deeper insights into your sales and profitability for each part of your business. Here's how to turn it on:

 

  1. Go to the Gear icon
  2. Choose Account and Settings.
  3. Select Advanced, then select the Categories section to edit.
  4. Check the Track classes and Warn me when a transaction isn't assigned a class option.
  5. Under Assign classes, select One to entire transaction or One to each row in transaction.*
  6. Click Save, then Done.

After that, you can now set up your class list and then assign the classes to your transactions. I'm also adding this article to help manage your sales transaction in QBO: View sales transactions.

Thanks for your reply, but please re-read my original post. I don't need a way of merely separating my Amazon and Ebay sales, but to track the profitability of each sale individually. Each sale has multiple transactions involved (income, COGs, shipping expenses, selling fees, etc), and these need to be linked together so I can view the overall profit margin.

Hi there, jadonmmiller.

 

You need a third-party application to sync sales, fees, and expenses directly into QuickBooks. While we're unable to dictate the names of applications, you can find one through our QuickBooks App store.
 

 

Let me show you how. 

 

  1. Go to this link: QuickBooks App.
  2. Enter a text, like eBay or Amazon from the Search by app name, keyword, job, or category search box.
  3. The system will then provide a list of applications that are already integrated with QuickBooks.
  4. Select each app from the list and review the functions and features.
     

When you're ready and want to use the app, click the Learn more button. You'll be directed to the app's website which will instruct you to connect to eBay or Amazon account.

 

Then, once the app is connected to QuickBooks, our system will download transactions from the account where your transactions are posted. All you need to do is categorize and match them.

You can use Synder to reconcile transactions into your QBO account and don't need to import with Saasant anymore.
