I'd prefer if Quickbooks did not create rules unless I specifically asked for a rule to be created. What is happening to me is that Quickbooks wants to create new rules and then I have to tell it not to do so, which is annoying.
If you're seeing prompts to create a bank rule, or rules in your account that you don't remember building from scratch, here's how rule creation actually works today, and how to review and clean up anything you don't want to keep.
How a bank rule gets created
A rule only gets created with your input, in one of two ways:
- Build one from scratch: go to All apps, then Accounting, then Rules, and select New rule.
- Create one directly from a transaction while reviewing: go to All apps, then Accounting, then Bank transactions, select the Pending tab, open a transaction, and select Create rule. This opens the rule window with that transaction's details already filled in, so you're just confirming and adjusting the conditions rather than starting blank.
Review and manage your rules
- Go to All apps, then Accounting, then Rules to see everything currently set up on your account.
- Select the Actions dropdown next to any rule to Copy, Disable, or Delete it.
- If you don't recognize a rule or don't want it running, Delete removes it for good; Disable keeps it on file but stops it from applying to transactions.
Going through your Rules list this way, even once, is the most reliable way to make sure only the rules you actually want are active on your account.
